Requirements

  • High school diploma or equivalent.
  • At least 1 years of experience in a medical receptionist or front desk role within a healthcare setting preferred.
  • Bilingual in English and Spanish
  • Proficiency with electronic health record (EHR) systems and standard office software (e.g., Microsoft Office).
  • Strong understanding of medical terminology and healthcare administrative procedures.
  • Excellent communication and interpersonal skills with a professional demeanor.

Nice To Haves

  • Certification as a Medical Administrative Assistant (CMAA) or equivalent.
  • Experience with insurance billing and verification processes.
  • Familiarity with HIPAA regulations and patient privacy standards.
  • Bilingual abilities, particularly in Spanish or other commonly spoken languages in the United States.
  • Additional training or coursework in healthcare administration or customer service.

Responsibilities

  • Greet and check in patients promptly and courteously, verifying personal and insurance information.
  • Schedule, reschedule, and confirm patient appointments using electronic health record (EHR) systems.
  • Answer incoming calls, respond to patient inquiries, and direct calls to appropriate medical staff.
  • Maintain and update patient records accurately, ensuring compliance with HIPAA and other privacy regulations.
  • Assist with insurance verification, billing processes, and collection of co-pays or outstanding balances.
  • Coordinate communication between patients, healthcare providers, and administrative departments.
  • Manage waiting room flow to minimize patient wait times and enhance the overall patient experience.
  • Prepare and distribute patient intake forms and other necessary documentation.
  • Support administrative tasks such as filing, faxing, and managing correspondence related to patient care.
