About The Position

The Medical Office Specialist (MOS) is responsible for front desk coverage for the medical practice which includes registration, check-in, collecting co-pays, scheduling appointments, billing patients, and scanning records into EMR, reports, and correspondence. The MOS possesses medical terminology knowledge, organization and communication skills, ability to adapt to flexible work schedules and frequent interruptions, and professional appearance, all while maintaining a calm disposition, problem solving, and decision-making skills. Reliable, tactful, honest and discreet in maintaining confidentiality at all times. Must be able to carry out specific assignments to successful conclusion.

Requirements

  • High School Diploma or equivalent required
  • Familiarity with medical terminology required
  • Experience with patient check-in and check-out process (according to clinic protocol)
  • General medical office procedures
  • Understand end of day cash balancing and charge reconciliation process (according to clinic protocol)
  • Proficiency in basic computer programs and operating systems, such as Microsoft Office
  • Excellent communication, organizational and interpersonal skills

Nice To Haves

  • Completion of an accredited Medical Office Assistant/Specialist program or Medical Assistant program preferred
  • Medical Assistant Certificate of Completion and/or one year experience as a Medical Assistant or Medical Office Specialist, preferred.

Responsibilities

  • Fulfills patient care responsibilities as assigned which may include: checking schedules and organizing patient flow relaying instructions to patients/families; answering calls and providing pertinent information. Always informs patients they are going to go to voicemail. Take accurate, complete written messages as required
  • Fulfills clerical responsibilities as assigned which may include: sending/receiving patient medical records; obtaining lab/x-ray reports, hospital notes, referral information, etc.; completing forms/requisitions as needed; scheduling appointments; verifying insurance coverage and patient demographics; managing charts to ensure information is complete and accurate.
  • Fulfills organizational responsibilities as assigned, which may include; respecting/promoting patient rights; responding appropriately to emergency codes; sharing problems relating to patients and/or staff with immediate supervisors quickly; schedules patients for procedures; and Insurance forms for doctors. Compiles end of day deposits and end of day reports. Follows written policies.
  • Books, coordinates and reschedules patients appointments; relays necessary messages to staff; greets and registers patients in a prompt, pleasant, and helpful manner; provides necessary instructions/directions. Informs appropriate department/person of patient’s arrival; verifies necessary information and records in the medical record; uses computer system to generate information necessary for billing; and, updates patient information, collects co-pays, provides any necessary forms needing completion, obtains signatures as necessary.
  • Maintains and updates current information on physician’s schedules ensuring that patients are scheduled properly and appointments are confirmed; answers telephone, screen calls, takes messages, and provides information; answers questions regarding patient appointments and testing; assembles new patient charts for next day visit; updates profile on all patients; educates patients before and after procedures; maintains schedule; performs appointment follow ups; acts as receptionist as necessary; and travels between facilities as requested
  • Performs other duties as assigned
