About The Position

This role serves as the Front desk /Cashier /Authorization Representative in a medical office, reporting to the Office Administrator. The primary function is to greet patients, activate patient files, manage appointments, and process authorizations and referrals for procedures and medications. The representative will handle patient scheduling, answer inquiries, process new patient paperwork, verify insurance information, and may assist with cashier duties and billing functions. The position also involves participating in office emergencies, providing wheelchair assistance, and ensuring medical records are prepared for review. Additional responsibilities include opening and closing the office, distributing sample medicines, maintaining the reception area, and attending required training.

Requirements

  • High School graduate or equivalent
  • Ability to act independently and work in a fast-paced environment.
  • Personality and demeanor to deal with the public and assist ill, older, or distraught patients.
  • Good computer skills

  • Excellent communication skills
  • Graduate of certified medical office training course or medical office working knowledge.
  • Good sense of organizational skills
  • Basic office skills such as typing, filing and printing.

  • Medical billing or medical specialist course preferred.

Responsibilities

  • Greet patients and visitors in person and over the phone in a professional manner.
  • Answer inquiries or refer questions to other staff members.
  • Schedule patient appointments electronically and accurately.
  • Resolve patient questions regarding clinic policies and general information.
  • Communicate effectively with callers in a welcoming tone.
  • Assist and process new patient paperwork, including setting up demographics in the EHR system and scanning insurance and identification cards.
  • Process updates to patient demographics and verify/update patient and insurance information.
  • Verify patients' insurance via the internet or phone.
  • Collect co-pays and outstanding balances, and balance the cash drawer.
  • Participate in the medical office emergency routine, summoning medical assistance when needed.
  • Provide wheelchair assistance to patients.
  • Respond to requests for authorizations and referrals in a timely manner.
  • Review authorization requests for accurate diagnoses coding.
  • Submit authorizations on behalf of physicians for procedures and/or medications.
  • Communicate with physicians or nurses regarding approval or denial of procedures.
  • Update patient charts with authorization status in e-Clinical Works.
  • Obtain necessary information to approve requests.
  • Submit electronic communication to indicate approval for procedures or medicines.
  • Schedule medical record reviews.
  • Ensure Medical records are prepared for the ROI company.
  • Assist in billing functions, adjustments, collection, or other clerical tasks.
  • Assist with training new employees in front office duties.
  • Cross-train in all aspects of front office duties.
  • Open the office at the beginning of the day and lock the front door at the end of the day.
  • Distribute pre-packed sample medicines to patients.
  • Maintain the reception area in a neat and orderly condition.
  • Assist other staff members with their duties as workload dictates.
  • Attend annual OSHA, HIPAA, and all internal offered in-services.
  • Perform other duties as requested.
