About The Position

We are seeking an experienced, compassionate, and highly organized Medical Office Manager to lead daily operations for our growing Otolaryngology (ENT) clinic. This role is ideal for a healthcare leader who thrives in a fast-paced clinical environment and takes pride in building efficient systems, supporting providers, and creating exceptional patient experiences. The Medical Office Manager is the operational backbone of the practice—overseeing front and back-office teams, ensuring regulatory compliance, optimizing workflows, and serving as a trusted liaison between physicians, staff, and external partners.

Requirements

  • Minimum 3–5 years of medical office management experience (ENT or specialty practice strongly preferred)
  • Strong working knowledge of medical scheduling, insurance verification, referrals, and prior authorizations
  • Experience supervising and developing healthcare teams
  • Familiarity with EHR/EMR systems and practice management software
  • Solid understanding of HIPAA, OSHA, and healthcare compliance standards
  • Exceptional organizational, communication, and problem-solving skills

Responsibilities

  • Lead, mentor, and supervise front desk, clinical support, and administrative staff
  • Foster a professional, collaborative, and patient-centered workplace culture
  • Manage daily clinic operations to ensure smooth patient flow and provider efficiency
  • Develop, implement, and refine office policies, workflows, and standard operating procedures
  • Oversee revenue cycle functions including scheduling accuracy, insurance verification, referrals, authorizations, and charge capture
  • Monitor key performance indicators (KPIs) such as patient volume, no-show rates, and authorization turnaround times
  • Collaborate with billing teams to address denials, aging accounts, and payer issues
  • Assist with budgeting, expense management, and cost-control initiatives
  • Coordinate ENT-specific workflows including allergy services, audiology, diagnostic testing, and surgical scheduling
  • Ensure accurate and timely referrals and prior authorizations for imaging, procedures, and surgeries
  • Serve as a point of contact for hospitals, surgery centers, and specialty vendors
  • Ensure compliance with HIPAA, OSHA, CMS, and all applicable healthcare regulations
  • Maintain records, logs, and documentation required for audits and inspections
  • Oversee staff training related to compliance, safety, and best practices
  • Address patient concerns and escalations with empathy and professionalism
  • Uphold high standards for customer service and patient satisfaction
  • Represent the practice professionally with vendors, referring providers, and community partners
