About The Position

Lead Operations for a Growing Multi-Location Specialty Practice We are seeking an experienced Office Manager to oversee the daily operations of a busy, physician-led specialty medical practice with multiple locations in the Dallas area. The Office Manager will work closely with providers and staff to ensure consistent day-to-day operations across all locations, maintain high standards of patient service, support effective front-office workflows, and help the practice continue to grow and operate efficiently.

Requirements

  • Minimum of 3 years of medical practice management or supervisory experience in a physician practice setting
  • Demonstrated experience directly supervising and developing clinical and/or administrative staff
  • Strong knowledge of medical office operations, scheduling, patient flow, insurance verification, referrals, and authorization processes
  • Working understanding of front-end revenue cycle processes and how office workflows affect billing and reimbursement
  • Electronic Medical Record (EMR) and practice management system experience required
  • Proficiency with Microsoft Office applications
  • Excellent leadership, interpersonal, coaching, and conflict-resolution skills
  • Strong organizational skills, attention to detail, and ability to follow through
  • Ability to manage multiple priorities and locations effectively
  • Excellent written and verbal communication skills
  • Strong problem-solving skills and the ability to make sound day-to-day operational decisions

Nice To Haves

  • Experience working in a specialty or multi-provider medical practice preferred
  • eClinicalWorks (eCW) experience strongly preferred

Responsibilities

  • Oversee day-to-day operations for a multi-location medical practice
  • Supervise, coach, and support clinical and administrative staff
  • Manage staff schedules, timekeeping, attendance, and coverage needs
  • Coordinate employee onboarding, training, performance management, and ongoing staff development
  • Set clear expectations and promote accountability, professionalism, teamwork, and excellent patient service
  • Address employee performance concerns and workplace issues promptly and appropriately
  • Monitor workflow efficiency and implement process improvements across office locations
  • Oversee front-office and clinical support workflows, including patient scheduling, insurance verification, referrals, authorizations, and patient communication
  • Ensure practice staff consistently complete front-end processes that support accurate and timely billing, including collection of demographic and insurance information, eligibility verification, authorizations, referrals, and other required documentation
  • Partner with the billing team to identify and resolve operational or front-end workflow issues that may affect claims submission, reimbursement, or patient balances
  • Address patient concerns and resolve service-related issues professionally and promptly
  • Partner with providers and staff to optimize patient flow, scheduling, and overall clinic operations
  • Assist with expense management, purchasing, inventory control, and vendor coordination
  • Monitor key operational metrics and identify opportunities to improve staff productivity, patient access, and practice efficiency
  • Facilitate staff meetings and communicate practice updates, expectations, and process changes
  • Ensure compliance with practice policies, HIPAA requirements, and applicable healthcare regulations
  • Support practice growth initiatives and special projects as needed
