About The Position

Texas Orthopedics, a division of OrthoLoneStar, is seeking a Medical Office Manager for their Northwest Austin Clinic. The Medical Office Manager will be responsible for organizing and coordinating office administration and procedures to ensure organizational effectiveness, efficiency, and safety, and will supervise all operational activities at the clinic location.

Requirements

  • High School diploma or GED
  • Bachelor’s degree required (experience may be considered in lieu of a Bachelor's degree)
  • Five years’ experience in a healthcare setting, preferably in orthopedics
  • Previous supervisory experience in a medical office setting preferred
  • Two years’ experience performing in an EMR/PM platform required
  • Outstanding interpersonal skills, capable of dealing with medical and administrative staff, patients, and the public.
  • Knowledge of organization policies, procedures, systems, and objectives.
  • Knowledge of governmental regulations and compliance requirements.
  • Knowledge of computer systems and applications, specifically Microsoft Office programs.
  • Ability to communicate clearly and effectively in writing and verbally.
  • Ability to walk frequently and stand for extended periods of time.
  • Ability to lift and carry items weighing up to 50 pounds.
  • Must have full range of motion.
  • Must have adequate visual acuity to read and interpret written material.
  • Must have adequate hearing and speaking abilities to interact appropriately with others.
  • Ability to work in a fast-paced environment.

Nice To Haves

  • Knowledge of Athena Electronic Medical Record preferred.
  • Bilingual preferred.

Responsibilities

  • Coordinates all daily operations at the facility, including staff organization, task delegation, and ensuring compliance with TOSRA/OLS policies and procedures.
  • Administers clinic policies and procedures consistently and in a timely manner, ensuring staff work is error-free.
  • Directs the implementation of new policies, protocols, and procedures, including IT systems, and makes recommendations for needed changes.
  • Supervises staff, including hiring, training, job orientation, compensation, evaluations, counseling, discipline/termination, and managing staff/physician relations.
  • Directly responsible for clerical and clinical staff.
  • Acts as a liaison for staff and physicians to the Administrator and other managers.
  • Collaborates with other managers to ensure smooth operations.
  • Maintains clinic facility and equipment, and orders office supplies.
  • Responsible for clinic cleanliness and coordinating repairs and maintenance.
  • Serves as a liaison between the clinic and external agencies, working with representatives to minimize visits during operating hours and communicating relevant results to Administration.
  • Works with the Director of Patient Services to establish/implement goals, objectives, policies, procedures, and systems for the location.
  • Develops ideas and makes recommendations to increase departmental efficiency.
  • Assists in financial counseling and collection efforts, ensuring staff follow-through on collection tickets.
  • Assists in coordinating depositions, attorney conferences, and other meetings held at the location.
  • Provides coding assistance to clinic staff and physicians for daily office charges.
  • Backs up all employees and roles in the office as necessary.
  • Maintains petty cash change fund and reconciles it daily.
  • Resolves patient concerns and staff issues to ensure quality patient service.
  • Attends required meetings and participates in committees as requested.
  • Participates in professional development activities to stay current with healthcare trends and practices.
  • Promotes a positive work environment and team spirit, motivating staff for maximum work efficiency.
  • Maintains strictest confidentiality.
  • Performs other duties as assigned.
