About The Position

The medical office assistant supports clinical operations within the department by assisting physicians, nurse practitioners, and nursing staff with both patient care and administrative tasks. This role involves coordinating patient flow, preparing exam rooms and equipment, and contributing to routine clinical procedures. The assistant balances multiple responsibilities while maintaining organization across clinical and clerical functions. Key responsibilities include patient registration, appointment coordination, and medical billing activities alongside basic clinical support duties. Work is performed independently under general supervision with guidance from clinical staff for more complex matters. This position contributes to a welcoming and efficient healthcare environment for students.

Requirements

  • A Medical Administrative Assistant diploma.
  • Minimum of two years of experience in a fast-paced administrative or medical office environment, including experience collecting and reviewing patient data.
  • Current knowledge of medical terminology.
  • Strong understanding of clerical and medical office procedures.
  • Effective interpersonal and communication abilities.
  • Ability to handle sensitive situations with compassion and professionalism.
  • High attention to detail and initiative.
  • Ability to work effectively both independently and collaboratively in a team.
  • Strong organizational and time-management skills with the ability to handle competing demands.
  • Ability to learn and use new technologies.
  • Proficient computer skills, including Microsoft Office applications, keyboarding, electronic medical records, and transcription and word processing.

  • Experience within a university or clinical setting is preferred.

Responsibilities

  • Greets patients in the waiting area and escorts them to exam rooms.
  • Prepares patients for physical examinations and sets up examination rooms for procedures.
  • Cleans examination rooms following procedures and autoclaves medical equipment.
  • Collects and performs basic testing of patient specimens.
  • Conducts electrocardiogram (ECG) testing.
  • Maintains workspace cleanliness and organization.
  • Assists physicians and nursing staff during clinical activities.
  • Orders and stocks medical and office supplies.
  • Registers patients and schedules follow-up and specialist appointments.
  • Processes and completes medical billing tasks, including preparing, verifying, and submitting billing information and related documentation.
  • Collects payments for fee-for-service providers.
  • Communicates and acts in a respectful and professional manner, collaborates effectively, abides by policy, and contributes to a positive and productive work and learning environment.
  • Engages in continuous learning by participating in activities, training, and events related to Indigenous engagement, reconciliation, equity, diversity, and inclusion.
  • Demonstrates respect and dignity for all members of the community, actively contributes to an environment of acceptance and inclusion of others, and responds to different perspectives from a place of curiosity, respect, and non-judgement.
