About The Position

Responsible for assisting medical providers with direct patient care, performing clerical and environmental duties, and ensuring organizational compliance. This role involves appointment scheduling, chart management, and providing medical care and information to patients to maximize their benefit from clinic services. The Medical Office Assistant is expected to convey a positive image of the clinic and may be subject to call back and overtime as required.

Requirements

  • High School diploma required.
  • MOA certification required.
  • Attain CPR certification during the introductory period and maintain certification during employment.
  • Effective 2023, MOA’s entering orders in the outpatient clinic are required to be Certified MOA’s.
  • Knowledge of the health care field and/or medical specialty.
  • Knowledge of specific assisting tasks related to healthcare or the particular medical specialty.
  • Knowledge of information that must be conveyed to patients/families.

Nice To Haves

  • Some college preferred or attended and/or graduated from training to become a Medical Office Assistant.
  • Preferred minimum of one year work experience in a healthcare field.
  • MOA hired before October 2022 may be certified or have completed CPOE education (needs to be updated at time of expiration).

Responsibilities

  • Assist medical providers with direct patient care, including checking schedules, organizing patient flow, accompanying patients to exam rooms, assisting with transfers and specimen collection, preparing exam rooms, and collecting patient history.
  • Perform screenings and lab tests as ordered by the Medical Provider.
  • Assist Medical Providers and licensed nursing staff with various procedures.
  • Chart patient information and relay instructions to patients and their families.
  • Answer telephone calls and provide pertinent information.
  • Handle clerical duties such as sending and receiving patient medical records, completing patient referrals, and filling out various forms and requisitions.
  • Schedule appointments and verify insurance coverage.
  • Enter patient demographics and manage charts to ensure completeness and proper filing.
  • Administer medications and treatments within the scope of practice.
  • Prepare patients for tests and surgery, and assist physicians with procedures and examinations.
  • Ensure proper segregation and safe disposal of hazardous pharmaceutical waste.
  • Identify, record, and report any changes in patient condition or adverse reactions to treatment/medication to the medical provider.
  • Receive and transcribe physician and advanced practice provider orders.
  • Document care provided in the patient record.
  • Maintain cleanliness of exam/procedure rooms, instruments, and equipment, adhering to infection control standards.
  • Sterilize equipment and instruments according to the scheduled maintenance program.
  • Maintain appropriate records, order, sort, and store supplies, and restock exam/procedure rooms.
  • Order patient supplies and complete referrals for patients.
  • Respect and promote patient rights.
  • Follow all Clinic Policies and Procedures and System-wide policies.
  • Respond to medical emergencies, initiate CPR or appropriate action, and notify appropriate personnel.
  • Contribute to a positive work environment and the overall team effort of the clinic.
  • Perform related responsibilities as required or directed.
  • Perform preceptor duties for new employees and students, providing guidance during orientation.
