About The Position

The Medical Office Assistant (MOA) supports operational, administrative, and clinical support functions across all clinic locations. Working collaboratively with multiple departments, the MOA helps ensure efficient clinic operations through inventory management, sterilization processes, courier services, supply coordination, and other operational activities that support patient care and organizational success.

Requirements

Responsibilities

  • Manages mailroom organization, including processing and distributing all incoming and outgoing mail.
  • Provides courier services between clinic locations, including the transport of mail, specimens, supplies, and other organizational materials.
  • Monitors designated department routing bins and distributes outgoing correspondence, faxes, forms, and other materials as needed.
  • Supports operational workflows through a variety of administrative activities, including, but not limited to, preparing daily clinic materials, distributing patient correspondence/outreach, tracking feedback, and assisting with departmental projects as needed.
  • Assists with inventory tracking, supply distribution, and coordination of operational resources across clinic locations.
  • Participates in cross-departmental projects and process improvement initiatives and performs other duties as assigned.
  • Performs instrument sterilization, autoclave operation, routine maintenance, and associated documentation in accordance with organizational policies and regulatory requirements.
  • Monitors clinical supply inventory levels and coordinates replenishment of point-of-care testing (POCT) supplies and other designated inventory items across clinic locations.
  • Assists with maintaining exam room readiness by gathering supplies for distribution by the Clinical Support team as well as ensuring clinical areas are appropriately stocked with required supplies.
  • Supports clinical operations through coordination of designated equipment, supplies, and operational resources.
  • Conducts routine inspections of clinical areas for expired supplies and equipment.
  • Oversees regulated medical waste processes, including Stericycle coordination and compliance activities.
  • Maintains required documentation related to sterilization, inventory management, and operational compliance processes.
  • Follows organizational safety, infection prevention, and confidentiality standards.
