About The Position

PurposeMed is a healthtech company focused on improving access to complex care for underserved communities. This role is for their Freddie clinic, which specializes in sexual health, HIV prevention, and PrEP services, particularly for the LGBTQ2S+ community. The Medical Office Assistant will be the primary point of contact at the front desk of the in-person clinic located within Affirming Care Pharmacy in Calgary. The role involves welcoming and supporting patients, facilitating clinic flow, managing administrative tasks, and ensuring a respectful and confidential patient experience. The clinic aims to provide accessible, convenient, and welcoming care.

Requirements

  • 2+ years of experience as a Medical Office Assistant, front desk coordinator, or similar administrative role in a clinical setting.
  • Successful completion of a recognized Medical Office Assistant (MOA) program, or equivalent (e.g., Unit Clerk, Medical Administrative Assistant, Medical Office Administration).
  • Excellent attention to detail.
  • Strong organizational skills and ability to manage a busy, drop-in style front desk.
  • Proficiency in adhering to established policies and procedures.
  • Technical aptitude and ability to learn new software and systems quickly, including experience with an EMR.
  • Flexible mindset and positive approach to change.
  • Availability for daytime and evening shifts, including weekends.
  • Calm, non-judgmental, and discreet communication style.
  • Excellent communication skills and empathetic care delivery.

Nice To Haves

  • Completion of a recognized phlebotomy certificate program (e.g., CPTG Certified Phlebotomy Technician or equivalent) or willingness and ability to learn phlebotomy through training.
  • Experience working with members of LGBTQ2S+, gender and sexually diverse communities.
  • Experience working in the private sector, a start-up, or a technology company.
  • Experience working from a trauma-informed lens.
  • Familiarity with lab requisition and specimen-handling processes.

Responsibilities

  • Welcoming patients and supporting them through check-in, providing clear information about wait times and next steps.
  • Coordinating patient flow and connecting patients with the appropriate clinical team member when needed.
  • Creating a welcoming, discreet, and respectful clinic experience while protecting patient confidentiality.
  • Accurately collecting, labelling, packaging, and preparing specimens and requisitions.
  • Performing venipuncture as required and providing instructions for self-collection of specimens.
  • Maintaining clinic, phlebotomy, and specimen collection supplies and equipment, including inventory and infection prevention.
  • Assembling and packaging swab and at-home testing kits, maintaining inventory, and coordinating courier pickups and shipments.
  • Supporting clinical documentation, follow-up tasks, work queues, and patient coordination.
  • Supporting established clinical and operational processes, including virtual workflows.
