About The Position

Community Health Centers of America (CHCA) is seeking a full-time Medical Office Assistant to join their Skilled Nursing Facility Practice team at their Fair Oaks office. This role provides vital administrative support for operations within Skilled Nursing Facilities (SNFs). The position requires a highly organized and detail-oriented professional with a strong medical background to support provider scheduling, medical records management, quality assurance reporting, and facility compliance operations. The ideal candidate can work independently, communicate effectively with healthcare professionals, and maintain strict confidentiality. This role offers the opportunity to make a meaningful impact in a dynamic and rewarding environment. The regular work schedule is Monday - Friday.

Requirements

  • 3 years related experience in a healthcare office or Skilled Nursing Facility environment
  • Familiarity with medical and dental terminology, healthcare documentation practices and EHR systems (eCW preferred)
  • Proficiency with Microsoft Office, particularly Excel, Word, Outlook and SharePoint
  • Experience with medical billing/coding/documentation preferred
  • Medical Assistant or Medical Office Assistant certificate preferred
  • High school diploma or GED required, Bachelors preferred
  • Attention to detail
  • Basic administrative and clerical operations knowledge
  • Computer skills, including a high level of proficiency and knowledge in Microsoft Office (especially Word and Excel), computer operating system knowledge, and general familiarity with internet and email
  • Effective communication, both written and verbal
  • Experience handling sensitive and confidential information
  • Ability to manage multiple priorities in a fast-paced healthcare environment
  • Experience with medical records systems and healthcare compliance procedures
  • Familiarity with quality assurance reporting and facility auditing
  • Strong problem-solving and time-management abilities

Responsibilities

  • Coordinate appointments for medical providers (medical, dental, podiatry, mental health, etc) with facilities, ensuring all patients are scheduled and seen within Title 22 Regulations.
  • Ensure all patient services and billing information is collected and submitted timely and accurately.
  • Run facility admission reports and schedule patients as needed, including new patients.
  • Efficiently manage data entry, prepare reports, and process invoices.
  • Route clinical reports to staff within required timelines.
  • Maintain direct communication with providers, clinics, hospitals, and medical facilities.
  • Professionally handle incoming calls, respond to information requests, and liaise with clients as required.
  • Collaborate with clinical and administrative teams to ensure efficient workflow and continuity of care.
  • Verify, file, and maintain medical records electronically, ensuring accuracy and confidentiality.
  • Review medical documentation for completeness and route incomplete records to appropriate providers for correction.
  • Utilize medical terminology accurately in daily operations and documentation review.
  • Draft and type correspondence, process death certificates, distribute documents, and maintain organized filing systems.
  • Manage high-volume medical records including intake, discharge documentation, and requests from outside facilities.
  • Work across various systems, including Point Click Care, eCW, Excel, and Word.
  • Adhere to appropriate legal, ethical, and professional standards in all interactions and documentation.
  • Conduct facility audits to ensure regulatory and internal compliance requirements are maintained.
  • Maintain confidentiality of patient information and medical records in accordance with HIPAA and Privacy Act regulations.
  • Take on additional tasks or responsibilities as assigned to support the smooth running of the practice.
