About The Position

The Client Care Specialist I (CCS I) will work as a part of the clinic team to ensure that patients receive the best possible customer service. This role is responsible for answering incoming phone calls, checking in/out patients, handling money transactions based on patient balance, and assisting patients with their needs. The CCS I will perform opening and closing procedures, maintain office cleanliness, and handle various administrative tasks to support the clinic's operations.

Requirements

  • High School diploma or equivalent required.
  • Must possess superior written and verbal communication skills.
  • Ability to speak, read, and write English fluently required.
  • Must demonstrate proficiency in the use of a Windows Computer and Microsoft office products.
  • Must adhere to HIPAA and HIITECH guidelines at all times.

Nice To Haves

  • Minimum 1 year of relevant experience preferred.
  • Experience in an outpatient medical office preferred.
  • Graduation from an Accredited College, University, or trade school with a degree, license, or certificate in a relevant field preferred.

Responsibilities

  • Perform opening procedures including unlocking the front door, turning on TVs, playing music, vacuuming common areas/rooms, and checking restrooms.
  • Check-in/out patients and handle money transactions, including setting up payment plans and cash drops.
  • Process new patients by obtaining signed consent, verifying measures, scanning insurance and driver's license into the chart, and taking patient photos.
  • Answer phones and check voicemails on the designated inbox.
  • Call late/no-show patients five minutes after their scheduled appointment time.
  • Verify patient demographics, including address, phone number, insurance information, appointment reminders, guardians, guarantor, and email address.
  • Take messages and email patient questions to CCS II for the designated provider, documenting the communication in the patient's chart with date and time.
  • Set up/remove notifications as needed.
  • Schedule new patient and follow-up appointments.
  • Assist CCS IIs with faxing ROI's and disability/FMLA paperwork.
  • Upload medical records to patient charts.
  • Check bathrooms twice daily, ensuring cleanliness and stocking of paper towels/toilet paper.
  • Dust/wipe down countertop surfaces, patient waiting areas, common areas, and clean glass windows on office doors.
  • Perform closing procedures, ensuring cleanliness throughout the office and receptionist spaces, taking out trash, and ensuring all doors are locked before leaving.
  • Present appropriate, courteous customer service to all patients present or on the telephone.
  • Perform other duties as assigned by a supervisor.
