About The Position

This unique position provides back up to all Humboldt sites. Must be reliable, independent and personable. The Medical Front Office Assistant greets clients at the reception desk and manages a multiple line telephone system for the Ambulatory Section, providing intake and scheduling services for clients.

Requirements

  • Understand and comply with HIPAA and other regulations concerning client confidentiality.
  • Customer service skills to include listening closely to client, provide clear verbal communication, ability to empathize with client, and understanding of organizational protocol and guidelines.
  • Identify clients using at least two identifiers.
  • High School diploma or equivalent (Level I).
  • Demonstrate a commitment to the provision of culturally sensitive counseling services to American Indians.

Nice To Haves

  • Experience in medical setting preferred (Level I).
  • Three (3) years direct experience in a front office medical setting (Level II) -OR- Associates Degree and two (2) years direct experience in a front office medical setting (Level II).

Responsibilities

  • Greet clients in a courteous and friendly manner.
  • Answer telephone in a courteous and efficient manner, route calls, take messages, and document calls in the client's chart.
  • Schedule and coordinate appointments, and confirm appointments.
  • Manage client schedule system to ensure optimum utilization of provider time.
  • Obtain specified client information such as age, insurance coverage, and symptoms, and record information onto prescribed forms.
  • Copy insurance cards and forward to billing office.
  • Give client patient plan documents upon checkout.
  • Operate photocopiers, fax machines and various other office equipment.
  • Communicate with clinical staff to facilitate efficient client flow and meet client needs.
  • Communicate any emergency immediately to appropriate clinical staff and initiate calling of codes as appropriate.
  • Assist in scanning of client information to Electronic Medical Record according to Medical Records policy and procedure (if applicable).
  • Collect correct co-payments and balance cash drawer daily (if applicable).
  • Assist with distribution of client medications and maintain appropriate logs (if applicable).
  • Give general information about client care and answer telephone.
  • Attend department meetings and other assigned meetings.
  • Maintain a professional, organized, and clean working environment.
  • Learn about the American Indian culture and attend at least one Cultural Presentation/Training per year.
  • Work with American Indian/Alaska Native people and demonstrate cultural awareness and humility.
  • Deliver services in a culturally responsive manner.
  • Adhere to accreditation and compliance standards/guidelines.
  • Assist with training new staff (Level II).
  • Assist in development of departmental policy, procedures, and quality improvement activities (Level II).
  • Assume independent responsibility for a specific clinical activity or function (Level II).
  • Set up appointment schedule into computer system (Level II).
  • Maintain GSA logs and other routine logs (Level II).
  • Order office supplies (Level II).
  • Room requisition, coordination of meeting space allocation (Level II).
  • Participate in accreditation preparation (Level II).
  • Acquire customer service certifications/training related to role (Level II).
  • Partially cross train to Medical Assistant, Client Records, or Member Services roles (Level II).
  • Participate in leadership/management training (Level II).
