About The Position

The Medical Education Specialist plays a crucial role in supporting multiple trainee programs within the Anesthesia Admin department. This position involves a wide range of responsibilities including media maintenance, organizing and maintaining databases and trainee files, tracking mandatory training and compliance requirements, assisting with budgets and financial information, and performing website content updates and marketing strategy development. The specialist will also be responsible for accreditation support for graduate medical education programs.

Responsibilities

  • Effectively demonstrates skills related to the use of a variety of software and information systems.
  • Uses software applications to create tables, charts, and forms.
  • Uses electronic format to maintain schedules for multiple trainee programs.
  • Maintains electronic files and folders related to trainee educational activities and training requirements.
  • Organize, maintain and assume responsibility for required databases.
  • Ensure proper organization of records in the department.
  • Works with outside vendors.
  • Plans and oversees special events, programs, conferences, and symposiums.
  • Cross trained in other general departmental support positions and can provide coverage for these areas.
  • Organize, maintain and assume responsibility for trainee files.
  • Compile data for reporting requirements.
  • Learns details of the trainee's program, including compliance requirements, and assists with the compliance requirements.
  • Tracks mandatory training and other employee/department requirements; may include license monitoring.
  • Assists in the maintenance of budgets and billing.
  • Collect and electronically submits financial information for department.
  • Compiles information and performs data entry for departmental budget information and or expense tracking.
  • Assists with completion of HR forms for trainees.
  • Assists with account reconciliation.
  • Validates accuracy of information submitted and resolves discrepancies.
  • Assists with accurately capturing and reporting revenue and expense related to program activities.
  • Perform assessments of website for accuracy of data and information and perform content updates on a monthly basis.
  • Develop new content for website.
  • Assist with development and implementation of information and recruitment strategy.
  • Individual/discrete responsibility for at least 2 accredited programs and 12 or more resident/fellow positions (12 rotators=1 resident/fellow) OR 2 accredited of 5+ graduate medical education programs OR 3+ accredited programs OR support a centralized, org-wide group.
