About The Position

The Department of Surgery is seeking a highly organized, self-motivated professional to serve as a Medical Education Program Coordinator supporting the Vascular Surgery Residency Program and the Division of Urology. Under general supervision, this position is responsible for coordinating the day-to-day administrative, educational, and clinical operations across both areas. This role requires strong attention to detail, the ability to manage competing priorities in a fast-paced environment, and excellent communication skills. The coordinator works closely with program leadership, faculty, residents, and patients, serving as a central point of contact for programmatic, clinical, and administrative functions.

Requirements

  • High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Nice To Haves

  • Experience in a medical or academic healthcare environment.
  • Familiarity with systems such as Banner, Chrome River, New Innovations, or similar platforms.
  • Experience with ACGME requirements and residency program administration.
  • Knowledge of basic accounting principles, budgeting, and purchasing processes (P-card, Lobomart, or similar systems).

Responsibilities

  • Manage all administrative aspects of the residency program, including recruitment, onboarding, and orientation of residents.
  • Maintain and track documentation required for accreditation (e.g., ACGME compliance).
  • Develop and manage complex resident schedules, rotations, and educational activities.
  • Coordinate program events such as graduations, retreats, and conferences.
  • Monitor program expenses, budgets, and reimbursements.
  • Serve as liaison with external regulatory and accreditation agencies.
  • Support the Program Director and residents with day-to-day program operations.
  • Maintain databases and residency management systems (e.g., New Innovations).
  • Coordinate patient scheduling, including new and follow-up appointments, and manage patient intake information.
  • Support multiple faculty members with administrative needs, including calendar management, travel arrangements, and licensure tracking (DEA, Medical Board, Board of Pharmacy).
  • Ensure clinical documentation is prepared and available for patient visits across clinic locations.
  • Coordinate departmental and divisional meetings, including quarterly faculty meetings and monthly division meetings.
  • Assist in recruitment processes for faculty positions across subspecialties (e.g., Urology).
  • Track faculty leave and FOM accounts.
  • Support revenue management efforts, including tracking delinquent documentation.
  • Prepare reports, correspondence, and presentation materials.
  • Assist with purchasing, expense tracking, and reconciliation processes.
