About The Position

The Medical Education and Institutional Review Board (IRB) Coordinator at Riverside Medical Center provides administrative support for research, clinical student programs, and continuing medical education (CME). This position is responsible for coordinating clinical education experiences for non-physician learners, managing the Continuing Medical Education (CME) program in compliance with Illinois State Medical Society (ISMS) accreditation requirements, and supporting the IRB and research activities.

Responsibilities

  • Collaborate with the Clinical Student Coordinator to manage and coordinate clinical education experiences.
  • Organize and manage clinical rotations and placements for students and shadowers ensuring alignment with their educational requirements.
  • Coordinate clinical affiliation agreements with academic institutions to facilitate student placements, ensuring agreements are executed and maintained.
  • Schedule and coordinate clinical experiences, including assigning students to appropriate departments and preceptors.
  • Serve as students' primary point of contact, addressing any concerns or issues related to their clinical experiences.
  • Provide guidance and support to students throughout their clinical rotations, including orientation and ongoing mentorship.
  • Act as a liaison between students, educational institutions and clinical staff to facilitate smooth communication and collaboration.
  • Ensure that all student placements comply with institutional policies, regulatory requirements, and accreditation standards.
  • Maintain accurate and up-to-date records of student rotations, evaluations, and other relevant documentation.
  • Prepare and present reports on student performance and program outcomes to educational institutions and medical center leadership.
  • Handle administrative tasks related to student placements, including scheduling, record-keeping, and correspondence.
  • Coordinate the Continuing Medical Education (CME) program for the medical staff.
  • Ensure compliance with Illinois State Medical Society (ISMS) accreditation requirements by maintaining accurate records and documentation.
  • Provide administrative support to CME planners, including activity planning, documentation, evaluations, and reporting.
  • Coordinate CME events, educational activities, and related communications.
  • Maintain CME files and assist with accreditation reviews and reporting.
  • Facilitate monthly Institutional Review Board (IRB) meeting by preparing the agenda and packet, ordering refreshments, taking meeting minutes, and disseminating IRB decisions.
  • Review all applications to the IRB, including informed consent, to determine completeness and consistency with federal guidelines and institutional requirements.
  • Assist with the preparation of documents used in research, quality improvement, and other scholarly activities conducted in the Graduate Medical Education department.
  • Assure research activities are conducted in adherence to sponsor's research protocol, state and federal regulations, and Riverside policy by conducting internal audits.
  • Maintain a high level of knowledge and understanding of study protocols.
  • Schedule Research Review Committee meetings and takes minutes.
  • Provide CITI Program training instructions and assistance to investigators, trainees, and research staff; oversee CITI Program platform; assign courses, as needed.
  • Assist in identifying areas of focus for educational topics and present education on Research regulations and IRB policies and procedures.
  • Review Research and IRB department policies and procedures to ensure accuracy and efficiency.
  • Schedule meetings with trainees and research coordinators, as needed.
  • Maintain strict confidentiality.
  • Develop a working knowledge of team members' responsibilities to provide departmental coverage and support as needed.
  • Coordinate meetings, prepare correspondence, maintain records, and assist with reports and presentations.
  • Collaborate with internal departments and external educational institutions to support educational and research initiatives.
  • Other duties as assigned to support the success of the department.
