About The Position

Kaiva Tech, LLC is seeking a Medical Editor to support the development of complex written documents for the US Food and Drug Administration (FDA), including briefs, reports, factsheets, presentation slides, advisory and panel meeting materials, and scientific reviews for marketing applications. The role ensures consistency of expression, logical organization and development, readability, appropriate formatting, and conformity to grammar, style, and customer standards. The Medical Editor formats and proofreads documents prepared by FDA scientists, formats existing data tables, and creates and populates new tables using data from regulatory submissions to the FDA. The role applies language and formatting standards consistently using a style guide and requires a willingness to learn advanced Microsoft Word features. The position is currently 100% remote, subject to client approval and possible changes based on client needs and expectations. The role has no supervisory responsibilities.

Requirements

Bachelor's degree required.
Strong English grammar, spelling, and punctuation skills.
Ability to read and understand a data table.
Familiarity with Microsoft Word, including Track Changes.
Attention to detail, including identifying extra spaces in text or data-table cells.

Nice To Haves

Bachelor's degree in a scientific or health field.
Work experience as a copyeditor.
Proficiency with Microsoft Word features such as styles, captioning, and cross-referencing.
Experience in the healthcare, laboratory, or pharmaceutical industry.
Ability to understand medical literature such as journal articles.
Ability to fact-check scientific writing and data.
Familiarity with a style guide such as AP or AMA.
Familiarity with Section 508 compliance.
Experience with Visual Basic, SharePoint, EndNote, Adobe Acrobat, Excel, or PowerPoint.
Education or experience in a scientific or healthcare field.

Responsibilities

Format and proofread documents written by FDA scientists.
Learn and consistently apply a style guide's formatting and language standards, making and uniformly applying decisions about style elements not covered by the guide.
Identify and correct errors in grammar, spelling, and punctuation, as well as issues with tone, flow, verb tense, and style.
Recognize and correct inconsistent use of scientific terms in text and data tables.
Use Microsoft Word styles and field-coded captions to support functional automated tables of contents and lists of tables and figures.
Insert and manage citations and references; create lists of abbreviations and ensure acronyms and abbreviations are used correctly.
Format data tables and create and populate tables using data derived from FDA regulatory submissions.
Create and maintain consistently formatted document templates.
Communicate efficiently and effectively with FDA scientists about editing project requirements and timelines.
Perform routine quality checks on work completed by other copyeditors.
Support onboarding and training of new copyeditors as needed.
Create and maintain internal documents, including style guides, process documents, and training materials.
