About The Position

The Back Office Medical Assistant reports to the office manager and performs both administrative and clinical duties. This role involves patient check-in/check-out, insurance verification, appointment scheduling, patient rooming, assisting providers with exams and procedures, and performing diagnostic testing. The position requires a broad understanding of clinical operations and physician office practices, with a strong emphasis on using the Athena Clinicals electronic health record system. Travel to various locations is a significant component of this role.

Requirements

  • Completion of an accredited Medical Assistant program.
  • At least 1-year of relevant medical assistant experience in a physician office.
  • Broad understanding of clinical operations and physician office practice.
  • Athena Clinicals electronic health record experience.
  • Experience with other secure clinical communication and billing applications such as PMD soft.
  • Ability to perform basic patient data entry into Athena Clinicals electronic health record and use Microsoft Office suite.
  • Skill in use of computer, calculator, copy machine.
  • Basic knowledge of correct English usage, spelling, and punctuation.
  • Basic knowledge of modern office practices, materials, and procedures.
  • Basic knowledge of medical examination, diagnostic and treatment room procedures.
  • Basic knowledge of insurance requirements and procedures.
  • Knowledge of medical terminology.
  • Proficient with general math skills.
  • Comply with all HIPAA, OSHA, Compliance, and IT standards and policies.

Nice To Haves

  • Current Medical Assistant Certification by the American Association of Medical Assistants (AAMA) Certified or other equivalent certification organization highly preferred.
  • Current CPR certification preferred.
  • Nephrology medical office or dialysis experience highly preferred.

Responsibilities

  • Perform check-in/check-out functions accurately and in a timely manner.
  • Collect co-pays, deductibles, and co-insurances.
  • Verify insurance benefits and obtain necessary guarantor information.
  • Schedule and confirm appointments.
  • Room patients and conduct full patient intake, including vitals, allergies, medication reconciliation, and vaccination recording.
  • Interview patients and provide instructions as directed by providers.
  • Handle incoming and outgoing correspondence with other providers or pharmacies.
  • Process requests for medical records.
  • Obtain vitals and other pertinent patient information.
  • Assist providers with exams and procedures.
  • Perform diagnostic testing.
  • Collect specimens and follow CLIA regulations.
  • Facilitate referrals to specialty care, imaging, or laboratory studies.
  • Coordinate with others to ensure patients are set up for required lab studies or imaging.
  • Call patients with test results or instructions as provided by providers.
  • Prepare for patient office visits and prepare lab work in patient charts.
  • Make patient reminder calls for lab work.
  • Scan and attach patient medical records and administrative documents in Athena Clinicals.
  • Review and process incoming faxes and flow labs not electronically sent.
  • Participate in preparing payment batches and maintaining accurate office cash transactions.
  • Process medication authorizations and refills.
  • Organize drug sample closet and discard expired medications.
  • Reschedule patients as appropriate using the automated appointment scheduling reminder system.
  • Maintain appointment waitlist and schedule appointments from the waitlist.
  • Exercise sound judgment when dealing with challenging and stressful situations.
  • Occasionally act as a trainer for other medical support staff or students.
  • Perform other duties and responsibilities as required, assigned, or requested.
