About The Position

Under the general supervision of the designated supervisor and in collaboration with a clinical overseer, the Medical Assistant is responsible for assisting in the delivery of high quality and safe clinical care. The MA will assist with patient care and operational flow by performing clerical and clinical duties as needed within the scope of their training and applicable to the kind of practice and patient population. The MA will organize work to enhance patient satisfaction and provider efficiency. S/he will collaborate with providers for daily needs/schedule coordination, by reviewing provider schedule and anticipating patient, provider and appointment needs at the time of the patient visit, keep visits running on time, communicate delays with patients, manage same-day schedule additions, ensure exam rooms are properly supplied and provide support for patient forms completion. The MA is responsible for following and sustaining all workflows, standard work, policies, and procedures. The performance of the Medical Assistant in the delivery of empathetic and efficient care and service will have a direct impact on our overall patient satisfaction. The Medical Assistant works in collaboration with the physician(s), other health care provider(s), and other ambulatory support staff within the department and with other disciplines to deliver patient care.

Requirements

  • High School Diploma or equivalent required.
  • Strong interpersonal and customer service skills required to communicate with patients, family members, physicians and other health care providers, as well as other colleagues.
  • Knowledge of medical terminology.
  • Must possess strong problem-solving abilities and analytical skills to ensure patient’s needs are met.
  • Must possess basic computer skills to input and retrieve clinical information, as well as patient registration and appointment information.
  • Utilizes critical thinking and good judgement in performance of tasks.
  • Must possess good organizational skills and the ability to multitask and to prioritize daily assignments to ensure smooth workflow.

Nice To Haves

  • Graduate of an Accredited Medical Assistant program or has obtained a Medical Assistant Certification (AAMA, CCMA, RMA, NCMA).
  • Certification required upon hire and maintained if not a graduate of an accredited medical assistant program.

Responsibilities

  • Follow and sustain all workflows, standard work, policies, and procedures.
  • Provide safe patient care by demonstrating organizational skills that maintain and coordinate safe delivery of quality care for assigned patients/families.
  • Participate in a culturally competent plan of care that identifies patient problems, expected outcomes, and addresses preventative measures.
  • Deliver care that is specific to the age of the patient.
  • Care for patients as delegated by the provider, RN or LPN within scope of practice and competence.
  • Contribute information provided by the patient or family for the assessment of health status.
  • Evaluate outcomes of interventions within their scope and follow directions on a modified plan of care.
  • Collaborate, cooperate, and communicate with other health care personnel to ensure quality and continuity of care.
  • Establish collaborative relationships with nurses, physicians, other colleagues, patients and families.
  • Participate in and support the educational plan for patient and family.
  • Greet, identify, transport and/or escort patients to exam room.
  • Accurately obtain all elements of the MA rooming standards.
  • Document data in Electronic Health Record (EHR).
  • Report findings as needed to provider.
  • Using the Pended Order workflow, pend orders as needed for provider signature.
  • Prepare patient for examination: Ask patient for and document chief complaint, symptoms, and duration of symptoms in EHR.
  • Obtain history and review medication list.
  • Ask patient if they need any medication refills and queue refills in EHR.
  • Document all drug and other allergies.
  • Document smoking history.
  • Take vital signs (Height, Weight, Blood Pressure, Pulse, Respiration, Temperature).
  • Observe patient, document and report findings to provider.
  • Alert the provider when patient is ready and communicate pertinent clinical information.
  • Notify provider of an abnormal vital signs, elevated pain scores or safety concerns.
  • Assist the provider with the patient visit and care as required.
  • Prepare special equipment, instruments and supplies as needed.
  • Provide instructions to patient regarding any diagnostic test and procedure after they have been educated by the provider.
  • Prepare and label specimens obtained by the MA or the provider for transport based on the Labeling Policy.
  • Test specimens as necessary and according to proper procedure.
  • Assist with throat cultures, PAP smears, wound cultures, biopsies, and joint injections.
  • Perform electrocardiograms, spirometries, monofilament testing, vision and hearing testing according to departmental standards.
  • Assist with wound care.
  • Assist with other testing, in accordance with medical assistance training.
  • Assist provider with minor procedures.
  • Document testing/results per practice protocol.
  • Administer immunizations based on written provider orders (as allowed by the practice license).
  • Administer injections based on written provider orders (as allowed by the practice license).
  • Follow department procedures related to access to non-controlled medications, such as IV solutions and vaccines, when granted access to these medications as part of the job functions.
  • Perform Phlebotomy procedures (back up to phlebotomist) (drawing of blood, spinning of bloods).
  • Meet expectations and maintain competencies of new hire orientation skills checklist, annual competency verification and participates in education programs provided.
  • Be alert to Quality Improvement and CQI issues as well as to unsafe working conditions.
  • Notify manager of concerns.
  • Participate in unit-based QI activities and is familiar with unit measurement data.
  • Organize and prioritize daily work to ensure patient needs are met and provider schedules run efficiently.
  • Participate in huddles to anticipate, understand and address the daily needs of our patients and providers to ensure proper workflow.
  • Review patient records against quality measures and best practice indicators and advise providers of potential documentation and care gaps.
  • Prepare supportive documentation for scheduled appointments/procedures.
  • Review record for completeness before appointment and update as appropriate.
  • Insert the required forms per procedure and department protocol.
  • Follow up with patient or specialist to ensure patient care plans since last appointment were followed and results are available for physician review.
  • Confirm that lab and other ancillary tests are performed and results documented.
  • Enter charges and review patient record for billing accuracy performing quality checks on ICD-10 and CPT codes and other related information in order to streamline the billing process per practice protocols.
  • Assist the providers with work outside the visit related to managing a panel of patients.
  • Partner with patient and family in supporting patients’ short- and long-term goals.
  • Support care coordination for identified patients across the continuum in collaboration with provider and community agencies.
  • Perform designated tasks related to tracking test results and may communicate normal lab and imaging test results, either written or verbally as directed by provider.
  • Provide and review instructions to patient regarding any diagnostic test and procedures.
  • Provide patient with written education materials and diagnostic prep as needed.
  • Serve as a liaison with patients, families to physicians, case managers, 3rd party payers, et al.
  • Review, manage and enter registry health data for identified patient populations.
  • Monitor patient progress by utilization of disease specific registries to proactively reach out to patients to meet their healthcare goals.
  • Assist in the maintenance of the EMR.
  • Scan miscellaneous loose reports into the EMR.
  • Ensure exam rooms, supplies and equipment are maintained/stocked.
  • Prepare equipment and packages to be sent for sterilization following site protocol.
  • Maintain appropriate supplies and linen.
  • Prepare orders for routine medical supplies.
  • Monitor expiration dates and rotate inventory.
  • Prepare, clean and maintain equipment, addressing issues in a timely manner to ensure availability of equipment.
  • Clean and prepare the exam room and other patient areas between patients.
  • Manage provider InBasket folders per department standards, including lab/test tracking and referrals.
  • Review faxes, letters, forms, etc. and complete as much necessary information within scope before handing off to provider.
  • Receive patient messages and review with provider.
  • Provide back up or periodic administrative assistance to the practice as needed, including but not limited to:
  • Answer provider phone calls and route to appropriate person.
  • Take and document clear messages, handle requests for information and research issues.
  • Provide front desk coverage.
  • Greet patients, register patients verifying health insurance information, collect co-payments, etc.
  • Schedule patient appointments and collect pre-registration information, review and verify eligibility of insurance.
  • Provide check out desk coverage.
  • Schedule follow up appointments and/or provide information about recommended specialists.
  • Schedule diagnostic and specialty appointments as ordered by the provider.
  • Complete referrals and pre-authorizations per healthcare payer and practice protocols.
  • Maintain strict adherence to the Lahey Health confidentiality policy.
