About The Position

The Medical Assistant I / Patient Service Specialist I serves as a key member of both the clinical and administrative care team, supporting the daily operations of the physician practice. This role is responsible for assisting providers with patient care, coordinating administrative functions, and delivering exceptional customer service to patients and visitors. The Medical Assistant I/PSS I maintains a professional, positive, and patient-centered approach in all interactions, whether in person, by phone, or through electronic communication. Requirements

  • High School Diploma or equivalent required.
  • Graduation from an accredited Medical Assistant program or equivalent education and training.
  • One to three years of Medical Assistant experience preferred.
  • Experience working with electronic medical records (EMR) systems required; Athena experience preferred.
  • Previous experience in a physician practice or ambulatory healthcare setting preferred.
  • Strong commitment to customer service excellence.
  • Excellent verbal and written communication skills.
  • Strong interpersonal, organizational, and multitasking abilities.
  • Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
  • Ability to work effectively as part of a multidisciplinary healthcare team while independently managing assigned responsibilities.
  • Strong attention to detail and commitment to maintaining accurate patient records and documentation.

Responsibilities

  • Partner closely with providers to support the delivery of high-quality patient care.
  • Prepare patients for examinations and clinical visits by rooming patients and ensuring readiness for provider evaluation.
  • Obtain and accurately document vital signs, including blood pressure, temperature, pulse, respiratory rate, pulse oximetry, height, and weight in the electronic medical record (EMR).
  • Collect and document patient histories, chief complaints, pharmacy information, medication lists, and other pertinent medical information.
  • Obtain required patient consents and complete visit-specific forms and documentation.
  • Perform in-office diagnostic testing and required quality controls in accordance with established protocols.
  • Conduct electrocardiograms (EKGs) as ordered by providers.
  • Serve as a chaperone during examinations and procedures as needed.
  • Maintain exam room readiness by stocking supplies and monitoring expiration dates of clinical materials.
  • Answer, triage, and appropriately route incoming patient telephone calls.
  • Register patients in the EMR and verify demographic, insurance, and eligibility information.
  • Schedule patient appointments, specialty referrals, and diagnostic testing in accordance with practice guidelines.
  • Coordinate scheduling with other BUH practices as needed to support continuity of care.
  • Conduct daily pre-visit planning for upcoming appointments to ensure all required documentation is available.
  • Perform patient outreach initiatives related to preventative care, quality measures, and specialty services.
  • Assist with coordinating specialty appointments, testing, and follow-up care as directed.
  • Obtain insurance referrals and prior authorizations as required by the practice.
  • Communicate supply needs to management and assist with ordering clinical and administrative supplies as needed.
  • Work independently with minimal supervision while maintaining productivity and accuracy.
  • Adhere to all Brown University Health policies, procedures, and compliance standards.
  • Maintain strict patient confidentiality and protect sensitive health information.
  • Demonstrate professionalism, teamwork, and excellent customer service at all times.
  • Perform additional duties and responsibilities as assigned.
