About The Position

Under direction of the Administrator, the Medical Assistant performs a variety of tasks for the agency in as much as it is the primary contact via telephone for internal and external stakeholders with the clinic. Essential duties include providing excellent customer/patient service via phone, email and in person; referring callers to the appropriate departments; making appointments for patients according to established protocols; assisting with clients and staff with appropriate documents. Must be able to work collaboratively with various departments to provide proper care to patients/clients with a “can-do” attitude.

Requirements

  • Possession of a Medical Assistant Certificate is required
  • Possession of a High School Diploma or GED equivalent is required.
  • Must possess a valid California Driver’s License.
  • Must be able to meet the Agency’s rules and be eligible to drive for business. The Agency’s insurance carrier reserves the right to exclude applicants based on their driving record.
  • Must be at least 21 years of age.
  • Must pass CPR, First Aid and Bloodborne Pathogens within the first week of employment.
  • Must pass Therapeutic Crisis Intervention Coursework (TCI) certification offered through the Children’s Receiving Home within the first three months of employment.
  • Must maintain TCI, CPR, First Aid and BBP Certification throughout employment.
  • Must complete online Mandated Reporter Training within first week of employment.
  • Must complete Nurtured Heart Approach course within first 3 months of employment.
  • Must maintain at least 40 hours of training per calendar year; attend all trainings offered by the facility.
  • Knowledge of and ability to use Microsoft Office Suite and web browsers effectively.
  • Ability to read, speak, understand, analyze and interpret documents such as client safety/treatment plans, assessment materials and procedure manuals in the English language.
  • Ability to write professional/clinical reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of organization.
  • Ability to relate to children and families in a positive manner.
  • Ability to establish and maintain appropriate boundaries with children and families.
  • Skill to accurately assess clients' needs.

Responsibilities

  • Performs day to day administrative functions and general office duties including but not limited to word processing, copying, filing, faxing, answering phones and data entry according to CRH protocols
  • Obtains proper documentations for all youth at CRH set forth by Title 22 regulations to be in compliance
  • Works with social workers to obtain client information such as insurance providers, etc.
  • Coordinates with pharmacy on billing, insurance and medications clarifications
  • Communicates directly with Physicians, Nurses, Public Health Nurses, pharmacist and social workers via phone, email, or fax
  • Schedule client’s medical and dental appointments immediately after youth placement at the facility and per Title 22 regulations
  • Maintain outlook appointment calendar for residential and psychiatry departments
  • Complete appointment paperwork before and after appointment
  • Acts as a liaison for the psychiatrist, client and family members
  • Adheres to all clinic policies on safety and security; maintains restricted areas safe by safeguarding keyless entry codes and computer system passwords
  • Must exercise utmost diplomacy and tact to provide excellent customer service for patients, practices confidentiality and privacy protocols in accordance with clinic policies and HIPAA requirements.
  • Counting controlled medications and the beginning and end of each shift
  • Assisting with medication administrations daily
  • Reviews MARS daily
  • Reordering and logging in medication per Title 22 regulations
  • Checking medication expiration dates once a week
  • Obtaining proper documentation and storage of all PRN medications per Title 22 regulations
  • Tracks all clinic supplies and requests order as necessary
  • Completes client medical intake using proper clinic protocols
  • Completes client medical discharge using proper clinic protocols
  • Exercises problem solving and conflict resolution skills when handling patient complaints; refers patient complaints to appropriate designated personnel as needed.
  • Provide transportation to medical, dental, vision appointments, Urgent Care and ER as directed by the On duty Supervisor/Facility manager
  • Performs all the other related duties
  • Obtaining vitals (including height and weight) as needed for patients/ clients
  • Performing lice treatments as needed for children/youth placed in CRH’s care
  • Assisting with intake medical assessments as needed
  • Assisting with wound care using basic first aid
  • Providing basic first aid and CPR as needed
  • All other duties as assigned
