About The Position

The Medical Assistant (MA) supports the clinical and operational functions of the Opioid Treatment Program (OTP) by assisting providers, coordinating appointments, managing specimen collection processes, maintaining inventory and medical supplies, and ensuring timely communication with laboratories and clinical staff. The MA plays a key role in supporting efficient clinic operations, regulatory compliance, and continuity of care for clients receiving services within the OTP program.

Requirements

  • High School Diploma or equivalent required
  • Medical Assistant certification required
  • Minimum of 1 year experience required
  • Ability to maintain professionalism and confidentiality in accordance with HIPAA regulations.

Nice To Haves

  • Medical Assistant certification preferred
  • Experience in behavioral health, substance use treatment, or outpatient medical settings preferred
  • Strong organizational, communication, and multitasking skills
  • Knowledge of medical terminology, laboratory processes, and electronic medical records preferred
  • Experience with OMH and/or OASAS regulations preferred

Responsibilities

  • Manage all specimen-related processes, including collection support, labeling, documentation, storage, and coordination with laboratories.
  • Process and track lab orders and communicate with labs regarding results, discrepancies, and follow-up needs.
  • Complete toxicology screening documentation, reporting, and tracking in accordance with program requirements.
  • Perform EKGs, provide results to the physician for review, and upload/scan completed documentation into the electronic health record (EHR).
  • Schedule appointments for providers including: Medication management, Psychiatric evaluations, Physical examinations, Injections, Lab review appointments.
  • Coordinate Medical Director’s calendar, including lab reviews and dose decrease scheduling.
  • Conduct reminder calls to clients prior to physical exams and psychiatric evaluation appointments.
  • Maintain organized provider schedules to support clinic efficiency and continuity of care.
  • Maintain accurate and timely documentation related to scheduling, toxicology screenings, and specimen management.
  • Support general clinic workflow and administrative functions as assigned.
  • Monitor track and report medical, and program inventory for administrative ordering.
  • Check expiration dates of medical supplies and notify the Program Supervisor/PSM of items requiring replacement or reorder.
