About The Position

The Medical Assistant Supervisor is responsible for the supervision of the medical assistant team, including hiring staff, supporting performance achievement, conducting training, and clinical practice review of medical assistants. The MA Supervisor also provides support for medical assistant schedule coverage and day-to-day support, identifying and helping to resolve staff and operational issues. This role functions as a subject matter expert for clinical practice, workflows, and role responsibilities, performing the Medical Assistant (MA) role as needed.

Responsibilities

  • Supervise the medical assistant team, including hiring, performance management, training, and clinical practice review.
  • Provide support for medical assistant schedule coverage and day-to-day operations.
  • Identify and resolve staff and operational issues.
  • Act as a subject matter expert for clinical practice, workflows, and role responsibilities.
  • Perform Medical Assistant (MA) duties as needed.
  • Act as clinic operational lead for system-wide programs impacting the Medical Assistant role (e.g., POCT/CLIA, Immunization Program, Phlebotomy, Safety).
  • Serve as the clinic liaison with the Clinical Safety Manager and Pharmacy Coordinator.
  • Act as a clinical expert and monitor clinical services (e.g., EKG, pulse oximetry, specimen collection, venipuncture).
  • Provide coverage in team care pools and as an MA float.
  • Deliver patient care within HRSA services scope and approved locations, including home-based care.
  • Manage team performance, conduct monthly meet-ups, and provide coaching.
  • Ensure team accountability for policies, procedures, and workflows, addressing attendance, performance, and behavior concerns.
  • Consult with Human Resources on employee relations, performance, training, and engagement.
  • Hold team meetings to communicate organizational and departmental information.
  • Manage recruitment and hiring for the team, and oversee recruitment for openings supervised by direct reports.
  • Monitor onboarding of new hires and ensure ongoing training and development.
  • Manage time off requests, approve time cards, and monitor breaks and lunches.
  • Support and/or lead process improvement, operational efficiency, quality initiatives, clinical meetings, and huddles.
  • Maintain the clinical schedule, including MA and provider assignments, room assignments, and staffing coverage.
  • Ensure adequate medical supplies are available, coordinating orders, receipt, stocking, and monitoring expiration dates.
  • Monitor and assist with pre-visit chart scrubs, room preparation, sterile instrument processing, and patient rooming workflow.
  • Serve as liaison with the Clinic Operations Supervisor for efficient front and back office operations.
