About The Position

Under direct supervision and in accordance with established policies and procedures, provides clinical and operational support to the Department of Urology outpatient practice locations spanning labs, office visits, and in-office procedures. Provides clinical and administrative support in all aspects of the Urology practice, pertaining to patient flow, clinical care and efficiency, and operational continuity. This role requires competency in both routine ambulatory care and urology-specific procedural workflows, including cross-coverage across Urology providers, subspecialties, and practice locations.

Requirements

  • High school diploma required
  • Proper phlebotomy training is required prior to performing phlebotomy responsibilities.
  • Ability to work in a team-based, fast paced environment, with a focus on high quality, patient care and customer service
  • Ability to communicate effectively in both oral and written form, as appropriate, for the needs of the audience.
  • Ability to provide patients with clear and accurate information consistent with job requirements, including explanations of visit processes, procedures being performed, and the purpose of any devices used.
  • Knowledge of Vital Signs, the taking of clinical measurements, specifically pulse rate, temperature, respiration rate, and blood pressure, that indicate the state of a patient's essential body functions.
  • Demonstrated knowledge of medical terminology.

Nice To Haves

  • At least one year of related experience in a fast paced, high volume relevant specialty area is strongly preferred.
  • Previous training and/or experience with relevant office-based procedures within a clinical practice setting strongly preferred.
  • Completion of a Medical Assistant training program, including phlebotomy training, strongly preferred.
  • Medical Assistant and Phlebotomy Certifications strongly preferred.

Responsibilities

  • Provide clinical and administrative support for labs, office visits, and in-office procedures.
  • Maintain exam and procedure room readiness through cleaning, stocking, supply monitoring, and escalation of equipment concerns.
  • Room and prep patients for visits by obtaining vital signs, updating medical history, collecting specimens, reconciling and documenting patient information for provider sign off in the EMR.
  • Assist patients with walking, transfers, dressing, preparation for examination and procedures, and post-procedure care, as needed.
  • Review provider schedules and procedure room schedules to ensure operational readiness.
  • Support patient throughput and clinic flow to ensure efficient patient movement and timely care delivery.
  • Ensure proper room, equipment, and supply preparation before procedures and maintain sterile technique and infection prevention standards.
  • Provide front-end support, including patient check-in, registration assistance, insurance verification, and patient wayfinding, as operational needs require.
  • Assist providers with in-office procedures including, but are not limited to: cystoscopy, prostate biopsy, vasectomy, bladder instillations, catheter exchanges, uroflowmetry, VUDS, PTNS, circumcision, stent removal, and other urology-related procedures.
  • Review patient readiness for procedures, including consent completion and Epic upload, pre-procedure instructions, laboratory requirements, antibiotic compliance, and escalation of concerns as appropriate.
  • Participate in patient safety protocols including patient verification, timeout procedures, specimen handling, and chaperone requirements.
  • Ensure consents and required procedural documentation are scanned and uploaded into Epic in a timely manner.
  • Enter, pend, and verify urology-related laboratory, imaging, medication, and procedural orders in Epic for provider review and signature.
  • Monitor and manage assigned Epic In-Basket messages, including patient messages, refill requests, provider requests, results routing, and clinical task pools; escalate and close tasks appropriately.
  • Answer phones, respond to patient inquiries, appropriately triage calls & urgent concerns to providers, administrative staff, and leadership.
  • Support patient outreach, appointment coordination, procedural preparation communication, and follow-up workflows.
  • Provide cross-coverage across all WCM-NYP Urology practice locations, providers, and subspecialties based on departmental needs.
  • Participate in onboarding and peer training of staff on workflow, Epic functionality, infection prevention, and procedural readiness.
  • Ensure compliance with institutional Data security, HIPAA, infection prevention, and patient safety requirements.
