This role involves both clinical and operational responsibilities within a medical office environment. The Medical Assistant & Front Desk Coordinator will greet and room patients, obtain vitals, document symptoms and medications in the EMR, and assist providers with exams and procedures. They will also provide patient education, perform phlebotomy, administer injections, and manage telephone triage calls. Maintaining infection control, managing medical supply inventory, and ensuring exam rooms are stocked are key clinical duties. The role also includes operational tasks such as monitoring front-office staffing, reviewing payroll, drafting office policies, performing daily audits on Patient Service Representative work, troubleshooting coding issues, and assisting with financial balancing. The individual will act as the Athena EMR "Super-User," providing guidance and troubleshooting. Additionally, they will assist with interviewing, hiring, and orienting new personnel, conduct performance evaluations, and serve as a liaison between clinical personnel, billing departments, and management.

Requirements

  • 1+ years in a medical office environment
  • High School Diploma or GED
  • Strong ability to multitask and maintain professional relationships with patients, medical staff, and the public

Nice To Haves

  • Bilingual in Spanish preferred
  • Graduation from an accredited Medical Assistant program preferred
  • CMA (AAMA) or RMA certification preferred

Responsibilities

  • Greet and room patients, obtain vitals, and document symptoms/medications in the EMR.
  • Assist providers with exams, ultrasounds, and procedures; provide patient education on prenatal/postpartum care, infertility, and birth control.
  • Perform phlebotomy, administer injections, and manage telephone triage calls under MD supervision.
  • Practice strict infection control, manage medical supply inventory, and ensure exam rooms are sterile and fully stocked.
  • Recognize urgent or emergency situations and act appropriately; reorder and replace items used from the crash cart or emergency kit.
  • Monitor established pregnancies through lab work and flow sheets.
  • Monitor front-office staffing levels, review payroll time clock edits, and draft/update office policies to improve patient flow.
  • Perform daily audits on Patient Service Representative (PSR) work; troubleshoot CPT and ICD-10 coding issues and assist with daily financial balancing.
  • Act as the Athena EMR "Super-User," providing guidance to staff, troubleshooting system issues, and ensuring smooth data flow between departments.
  • Assist in the interviewing, hiring, and orientation of new personnel. Conduct performance evaluations and provide ongoing coaching for front-office staff.
  • Act as the primary liaison between clinical personnel, billing departments, and the Physician Owner or Practice Manager.
  • Follow up on special requests or projects for completeness and evaluate computer and equipment needs for personnel.
