About The Position

Our medical practice is seeking a detail-oriented, highly organized Medical Assistant or Clinical Scribe with specific expertise in Veterans Affairs (VA) documentation. In this role, you will act as a vital bridge between our veteran patients and licensed medical providers. You will be responsible for prepping, organizing, and scribing Disability Benefits Questionnaires (DBQs) and Compensation and Pension (C&P) exam notes. The ideal candidate possesses a deep understanding of VA guidelines, medical terminology, and electronic health record (EHR) management.

Requirements

  • Certification: Certified Medical Assistant (CMA), Registered Medical Assistant (RMA), or equivalent clinical scribe certification preferred.
  • Experience: Minimum of 1 year of experience working as a Medical Assistant or Scribe, with a strong preference for direct experience handling VA claims, C&P exams, or DBQs.
  • Technical Skills: High proficiency with electronic health records (EHR) software and general medical charting protocols.
  • Knowledge Base: Strong foundational understanding of medical terminology, anatomy, and standard diagnostic classifications (ICD-10 coding).
  • Soft Skills: Exceptional attention to detail, strict adherence to HIPAA guidelines, and a compassionate, respectful communication style suitable for serving military veterans.

Responsibilities

  • DBQ Coordination & Scribing: Assist licensed providers by accurately document medical histories, clinical exam findings, and diagnostic data directly into standard VA DBQ templates during patient evaluations.
  • Administrative Chart Prep: Review, audit, and organize incoming military service treatment records, private medical evidence, and diagnostic reports to ensure complete documentation prior to the clinician’s review.
  • Vendor & Agency Liaison: Coordinate with veteran medical assessment vendors (e.g., VES, QTC, Optum Serve) to track appointment completions and ensure timely submission of finished paperwork.
  • Clinical Intake Support: Perform standard clinical medical assistant duties, including taking patient vital signs, verifying current medication lists, and logging active symptoms into the EHR system.
  • Compliance & Quality Assurance: Ensure all documented clinical evidence satisfies specific VA rating criteria, drastically reducing chart errors and returned claims.
