About The Position

The Medical Assistant – Back Office is responsible for supporting efficient patient flow while performing various aspects of the back office patient visit. This position will function within their scope of practice. The role involves supporting and monitoring patient flow, preparing patients for visits, updating clinical information, performing medical tests and procedures, and maintaining exam rooms and supplies. Additionally, responsibilities may include operating and maintaining a mobile health unit, driving to various locations, and ensuring all vehicle logs are up-to-date. The position requires adherence to company policies, including attendance and the ability to work at any FHCN location. Other duties as assigned.

Requirements

  • MA Certification required.
  • MA Certification from a medical doctor will be considered.
  • Injection certification is required.
  • As an alternative, a venipuncture, injection and skin test certificate can be completed as part of the initial job specific competencies.
  • Ability to prepare more complex documents in Microsoft Word, including creating tables, charts, graphs and other elements.
  • Ability to use Microsoft Excel to review and compile data, including the use of formulas, functions, lookup tables and other standard spreadsheet elements.
  • Ability to create basic presentations in Microsoft PowerPoint.
  • Possesses work-related skills at a higher level than completion of high school, including formal written and verbal communications skills, computational and computer skills, mathematical, technical or health care related knowledge frequently acquired through completion of a trade school, para-professional, or certificate type program.
  • Job duties require the compilation of information prepared in effective written form, including correspondence, reports, articles or other documentation.
  • Effectively conveys technical information to non-technical audiences.
  • Regularly required to stand or walk and use repetitive hand movement to type and grasp.
  • Frequently required to bend waist, twist waist, squat, climb, kneel, reach above shoulder height, as well as the ability to lift, carry, push, or pull items up to 10 lbs (e.g., charts, medical supplies, small equipment).

Nice To Haves

  • For Back Office Medical Assistants working in the PACE program – A minimum of one (1) year of documented experience working with the frail or elderly population.
  • If Venipuncture certified.

Responsibilities

  • Supporting and monitoring patient flow in the back office.
  • Scrubbing appointments in advance to ensure necessary information is available for patient visit.
  • Assisting in the distribution of patients, including walk-ins.
  • Keeping patients informed of wait times and ensuring patients are properly flowed in the system.
  • Scheduling patient appointments.
  • Following up on “no-show” appointments and ensuring messages and requests are responded to accordingly.
  • Understanding general front office workflows and being able to step in to support the front office when needed.
  • Reviewing health records with patients and updating clinical information such as current medication, medical, and surgical histories.
  • Obtaining vital signs and patient data.
  • Initiating the follow-up of specialty care referrals and services per policy.
  • Supporting dispensary related functions, including requests for prescription refills, logging of medications, and pharmacy/patient phone calls.
  • Completing necessary clinical forms required for patient visits such as patient assistance programs, PM-160’s, and Staying Healthy Assessment forms.
  • Maintaining continuous communication within the patient care team.
  • Preparing necessary instruments, room setup, and obtaining consent for required procedures.
  • Performing Quality Control of CLIA waived screening equipment.
  • Performing CLIA waived screenings and proper documentation in the system.
  • Performing injection techniques.
  • Performing standing orders and clinical indicators such as immunizations, foot screening, and Tuberculosis screening.
  • Performing specimen collection, preparation, and labeling.
  • Performing venipuncture procedures (if Venipuncture certified).
  • Obtaining medical record releases and ensuring the processing of medical record requests.
  • Scanning relevant documents into the electronic health record system.
  • Performing documentation in the patient’s electronic health record according to policy and training.
  • Preparing and stocking exam rooms/lab and monitoring adequate supplies in stock.
  • Discarding of Biohazard waste and sharps.
  • Performing weekly testing and weekly/monthly cleaning of sterilization equipment and the sterilization of medical equipment.
  • Maintenance of the mobile health unit, including weekly cleaning and restocking, dumping septic tank, and refueling the vehicle.
  • Driving mobile health unit to and from various designated locations.
  • Maintaining all vehicle logs and any DMV records as required.
  • Assisting disabled passengers and children into and out of the vehicle.
  • Immediately reporting to supervisor any vehicle safety, maintenance and hazard issues.
  • Cooperating with any 3rd party official or employee assigned to vehicle inspections.
  • Performing within PACE's established policies, procedures, and regulations (if functioning within the PACE program).
  • Adhering to the Attendance and Absenteeism Policy.
  • Presenting to and working at any FHCN location, both at the beginning of a shift or during a shift, based on business need.
  • Performing other duties as assigned.
