About The Position

Under the supervision of the Practice Manager and guided by the policies and procedures of Ambulatory Services, the Hospital Assistant III assists in the delivery of care to patients within the practice. This role involves performing assigned patient care procedures to support the practice's services, adhering to Telephone and House Standards. The assistant also contributes to front and back office responsibilities, including scheduling, pre-registration, insurance verification, obtaining referrals and authorizations, and coordinating medical and financial information. They function as a team member, projecting a professional, caring, and courteous demeanor. The Hospital Assistant III is responsible for efficient patient flow, supporting multiple physicians, communicating with referring physician offices, and serving as a liaison for outside providers. Key duties include managing insurance authorizations, processing pharmacy refills, handling complicated treatment authorizations, and arranging hospital admissions.

Requirements

  • Certification from an approved Medical Assistant program; or equivalent combination of training and experience.
  • Knowledge and abilities essential to the successful performance of the duties assigned to the position.
  • Current American Heart Association CPR Certification.
  • Minimum of 1 year of recent experience working in a busy health care environment.
  • Familiarity with insurance verification and authorizations.
  • Ability to sit at a computer terminal for extended periods of time, with no restrictions for keyboarding.
  • Strong computer skills, including basic keyboarding skills, and experience and ability to work effectively in Word and Excel.
  • Ability to prioritize and work efficiently with multiple forms of patient & provider communication including email, fax and phone system.
  • Excellent organizational and problem-solving skills.
  • Excellent verbal skills.
  • Excellent interpersonal skills.
  • Strong writing skills to include the ability to compose basic office communications.
  • Ability to deal sensitively and effectively with patients.

Nice To Haves

  • CPT-1 Certification required for Primary Care departments (if applicant does not have a CPT-1, they will be hired as Hospital Assistant II and will be reclassified to a Hospital Assistant 3 once they receive CPT-1 certification with the State of California).

Responsibilities

  • Monitors patient flow in and out of the clinic.
  • Obtains patient’s vital signs, height, weight, pain screening, and documentation of chief complaints, and may room the patient.
  • Utilizes ApeX for documentation within the scope of practice of a Medical Assistant.
  • Assists nurses and providers in preparation for exam and/or equipment (i.e. biopsy/PAP).
  • Assists with procedures as required for the department specialty and determined by the Clinical Manager or Administrative Director.
  • Performs in-basket functions related to patient messages, labs, authorizations, and other tasks.
  • Acts as a chaperone as needed for medical providers.
  • Notifies providers of patient delays and service issues.
  • Advocates for patients by helping facilitate provider punctuality.
  • Communicates provider delays to the front office team and assists patients with issues and complaints utilizing conflict management skills.
  • Shares pertinent information and observations with other health team members.
  • Completes referrals to other providers as ordered by the physician.
  • Obtains authorizations from insurers for medications.
  • Assists the physician staff in writing and sending out patient communication.
  • Maintains clean, well-stocked exam rooms.
  • Responsible for ordering and maintaining supplies.
  • Maintains lab equipment and supply standards as directed by nursing staff or appropriate supervisor.
  • Performs other related duties as needed.
