About The Position

The Children's Home of Poughkeepsie has been caring for children throughout the Hudson Valley for over 175 years! We strive to empower children and families to achieve optimal health and well being. We are currently seeking a full-time Medical Administrative Assistant to join our Health Services Department. The Medical Administrative Assistant(s) assumes duties assigned by the Lead/Medical Coordinator(s) of both the Shelter and Long Term Foster Care Programs, the nursing staff, and The Chief of Health Services. The Medical Administrative Assistant plays a crucial role in providing high-quality patient services and ensuring the smooth operation of the healthcare department. This position requires a dedicated individual who is skilled in both clinical and administrative tasks.

Requirements

  • High School Diploma or equivalent
  • Driver’s license in good standing as determined by the Agency.
  • CPR/AED/First Aid Certification
  • Must complete and pass a pre-employment physical, PPD and drug screen

Responsibilities

  • Escorts residents to and from medical appointments.
  • Provides support to the resident.
  • Obtains documentation and provides records to the medical team.
  • Acts as a liaison between Children’s Home nursing department and medical providers/vendors and school nurse.
  • Schedules patient appointments in a timely manner.
  • Maintains inventory and stock of medical supplies in the clinics, medication cabinets, and residential settings.
  • Monitors and stocks first aid kits for designated locations.
  • Manages assigned individual health tabs in Extended Reach and the UC Portal.
  • Assists with filing and office tasks as assigned.
  • Maintains inventory and distributes hygiene supplies.
  • Maintains files in the Admin’s office.
  • Securely stores all discharged minors charts in a designated secure location.
  • Performs billing tasks.
  • Tracks treatment authorization requests and ensures timely submission and follow up.
  • Answers and directs phone calls.
  • Completes portal and chart reviews.
  • Networking amongst other team members and department(s) administrative staff.
  • Complete required training as assigned.
  • Other tasks as assigned within the scope of practice by medical leadership.
