About The Position

The Med Office Scheduler I is responsible for maintaining phone coverage, scheduling clinic appointments, collecting patient information, and ensuring adherence to HIPAA guidelines. This role involves utilizing EMR and scheduling tools, processing referrals, and communicating with patients and staff. The position also requires maintaining confidentiality of patient records and participating in team operations.

Requirements

  • High school diploma or equivalent
  • Medical Terminology
  • Basic typing and keyboarding skills
  • Strong organizational and interpersonal skills
  • Experience with customer service
  • Familiarity with computers and other office equipment
  • Ability to maintain confidentiality of sensitive information
  • Ability to prioritize responsibilities
  • Must be able to act calmly and effectively in busy or stressful situations
  • Knowledge of insurance plans and procedures
  • Requires adherence to all policies and procedures, including standards for safety, attendance, punctuality and personal appearance.
  • Must be able to establish and maintain effective working relationships with managers and peers.

Responsibilities

  • Maintain coverage of the phones between the hours of 8:00 am and 5:00 pm Monday to Friday.
  • Schedule clinic appointments including consultations and follow-up visits, utilizing the EMR and scheduling tool.
  • Collect all pertinent demographic information, insurance information, and medical information.
  • Utilize scheduling tools and a referral system to schedule patient appointments.
  • Confirm patient is eligible with insurance plan at the time the appointment is scheduled.
  • Utilize referral system to process referral, contact the patient to schedule appointment and import referral/documents into patient’s chart.
  • Call and resolve all outbound calls and requests in a timely and accurate manner.
  • Back up to Answer and resolve all incoming calls and requests in a timely and accurate manner.
  • Communicate with supervisor and/or leads about potential patient concerns.
  • Triage and relay necessary messages to appropriate staff members.
  • Participate in the daily operations of processing the patient appointment requests as a team alongside the pre-registration team.
  • Ensure strict confidentiality of all health records and member information.
  • Meet HIPAA guidelines.
  • Perform other duties as assigned.
