About The Position

The Woodbury, Long Island office of Kaufman Dolowich, a full-service National Law firm with over 250 attorneys across 16 offices and more than 25 practice areas, is actively seeking a dynamic Matter Intake Coordinator to join its expanding team. This role is ideal for a detail-oriented professional who enjoys working with data, supporting attorneys and business professionals, and ensuring the accuracy and integrity of critical client and matter information across firm systems.

Requirements

Strong written and verbal communication skills
Prior law firm experience preferred; experience at a defense firm is a plus
Ability to interact professionally with attorneys, business professionals, and firm leadership
Exceptional attention to detail and strong data entry accuracy
Excellent organizational and multitasking abilities in a fast-paced environment
Ability to manage confidential and sensitive information with discretion
Proficiency with Microsoft Office and comfort working within multiple software systems

Nice To Haves

Experience at a defense firm is a plus

Responsibilities

Perform quality control and create new client and matter records within the firm’s financial and document management systems
Process matter updates, including contact changes, matter names, billing rates, deductibles, claim information, and other case details
Reconcile newly created matters within e-billing platforms on a regular basis
Upload and maintain carrier billing guidelines within the firm’s internal intranet
Generate ad-hoc reports and assist with data requests as needed
Support special projects and departmental and firmwide initiatives
Provide administrative and operational support to the intake team
