About The Position

This role maintains inventory levels and oversees the lifecycle management of IT equipment, materials, and supplies. The responsibilities include reviewing and approving replenishment requests, processing requisitions, and maintaining accurate inventory and asset records. The position also coordinates the receipt, inspection, classification, storage, distribution, and disposition of IT assets, including networking equipment, ensuring the Configuration Management Database (CMDB) and inventory records remain current. The Materials Supply Controller Senior serves as the central point of coordination for equipment requests by verifying available inventory before new purchases, supporting procurement activities, and optimizing asset utilization. This role involves scheduling and leading physical inventories, monitoring inventory levels, and ensuring materials are available to support university operations in accordance with established policies, procedures, and supply chain best practices.

Requirements

  • Bachelor's degree and five (5) years of experience appropriate to the area of assignment/field; OR, Any equivalent combination of experience and/or training from which comparable knowledge, skills and abilities have been achieved.

  • Experience working in higher education, public sector, healthcare, or other complex enterprise environments.
  • Knowledge of IT asset lifecycle management, inventory control, supply chain, and warehouse operations.
  • Ability to identify networking equipment, assess equipment condition, and maintain accurate CMDB and inventory records.
  • Strong organizational, analytical, problem-solving, and communication skills with the ability to coordinate across technical and business teams.

Responsibilities

  • Lead, train, and mentor a team responsible for requisitions, order fulfillment, inventory operations, and asset lifecycle management.
  • Coordinate IT equipment requests by validating inventory and Configuration Management Database (CMDB) records before new purchases, managing fulfillment, and collaborating with project managers, engineers, procurement, vendors, and internal stakeholders.
  • Receive, identify, inspect, classify, document, store, distribute, and track IT assets, including networking equipment (e.g., access points, switches, routers, gateways, and firewalls), while maintaining accurate inventory, Configuration Item (CI), and asset records in ServiceNow or an equivalent IT Service Management (ITSM) platform.
  • Evaluate equipment condition and determine appropriate disposition, including redeployment, storage, recycling/disposal, or vendor Return Merchandise Authorization (RMA) and warranty processing.
  • Review and approve requisitions, stock requests, purchase orders, invoices, and inventory replenishment activities in accordance with established policies and procedures; determine replenishment levels using historical usage and inventory analysis.
  • Monitor inventory through cycle counts, physical inventories, record audits, and inspections to maintain accurate inventory balances, optimize asset utilization, minimize duplicate purchases, and ensure financial and warehouse management systems remain current.
  • Maintain inventory, purchasing, pricing, quality, quantity, delivery, and reporting records; prepare regular inventory and operational reports for management.
  • Coordinate with vendors to resolve pricing, delivery, damage, shortage, warranty, and invoice discrepancies, ensuring timely resolution of procurement and inventory issues.
  • Store, label, transport, and distribute materials and equipment in accordance with operational, safety, and regulatory requirements, utilizing appropriate material handling equipment.
  • May receive, inspect, store, transport, and ship hazardous materials, chemicals, biological materials, compressed gases, liquid nitrogen, laboratory supplies, and other regulated materials in compliance with university, state, and federal regulations.
  • Leverage AI in routine tasks and contribute ideas for using AI to improve the unit’s efficiency and overall performance.
