About The Position

The purpose of this classification is to purchase, issue, and maintain materials, parts, and equipment inventory for assigned city departments. This role involves managing inventory, coordinating with vendors, performing inventory control tasks, and preparing various reports. The position also includes maintaining gas islands and assisting with city auctions. Additionally, the Materials Specialist may serve in a leadership role in the absence of the Materials Management Supervisor.

Requirements

  • High school diploma or GED required
  • Three (3) years of progressively responsible experience and/or training involving inventory control, automotive/mechanical repair and maintenance, auto parts control, purchasing, or related field required
  • Any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
  • Must possess and maintain a valid Class C Georgia driver's license.
  • May require certification in Freon recovery or forklift operations.

Responsibilities

  • Purchases materials, parts, and equipment; enters related receipts into database; prints and transmits to appropriate personnel; reviews invoices; receives and disburses parts, supplies, and equipment.
  • Researches catalogs; consults with vendors, procurement department personnel, and other city departments to discuss new products, solicit bids, analyze bids/quotes, issue parts and materials, provide information, or receive advice/direction.
  • Coordinates/performs inventory control and maintenance tasks for expendable materials such as inspecting inventory, performing physical counts, purging obsolete inventory, stocking shelves, rotating and pulling stock, and re-ordering parts and equipment.
  • Coordinates the return of damaged or warranty parts as needed; may service parts per request or forward to appropriate individual for repair.
  • Reviews and recommends approval on monthly accounting reports, inventory lists, data sheets, fuel usage reports and other reports in managing storeroom.
  • Determines the space layout requirements and numbering system for the auto parts storeroom.
  • Prepares a variety of reports, specifications, field purchase orders, credit memoranda, vouchers, requisitions, forms, logs, and related documents; maintains files, updates, and/or forwards to appropriate department or individual.
  • Coordinates/conducts training for employees in the operation of materials handling equipment; coordinates/conducts training for employees in the proper care and preservation of items received or stored.
  • Receives a variety of invoices, quotes, reports, lists, purchase orders, contracts, memoranda, and related documents; reviews, files, posts, processes, and/or forwards to appropriate department or individual.
  • Evaluates vendor performance, service, and merchandise; compares competitive products for research and use; makes recommendations regarding vendors and/or products.
  • Maintains gas islands, including pumps, air hoses, and water hoses; serves on stand-by status to facilitate repairs if needed; keys gas; polls and processes transactions from gas island, corrects errors that may occur on transactions, and updates general ledger.
  • Confers with Materials Management Supervisor and Operations Supervisors concerning daily operation, changes in operations/inventory or other related tasks.
  • Assists with the preparation of the annual city auction; confers with Surplus Officer and Vehicle Buyer to determine which vehicles should be cannibalized for parts, or placed in auction.
  • Answers telephones, take messages, and provides quotes as needed.
  • Serves in a leadership role in the absence of the Materials Management Supervisor.
  • Performs other related duties as required.
