About The Position

The Materials Management Coordinator will be responsible for coordinating and monitoring facility infrastructure and utility systems, including air conditioning and HVAC systems, steam systems, boilers, medical oxygen systems, and instrumentation and procedure equipment. This role involves coordinating preventative maintenance schedules, identifying and communicating facility issues, and assisting in maintaining operational readiness of equipment and systems. Additionally, the coordinator will serve as the primary point of contact for maintenance-related activities, coordinating repair requests and work orders with internal staff and external service providers, and working closely with vendors to ensure timely completion of maintenance projects. The position also entails overseeing supply ordering for all departments, maintaining inventory levels, processing purchase orders, receiving shipments, resolving discrepancies, researching vendors, and compiling purchasing and inventory data. Inventory control and supply distribution, including maintaining organized storage areas, tracking implant inventory, distributing supplies, conducting inventory counts, and monitoring for shortages, are key functions. Equipment management, including coordinating repairs, troubleshooting concerns, evaluating replacement needs, and coordinating procurement, is also part of the role. Staff support and communication involve responding to supply requests, addressing concerns, collaborating with staff and physicians, and communicating effectively regarding supply and equipment status. Finally, the role requires maintaining compliance with regulatory requirements, facility policies, and accreditation standards, and supporting readiness for regulatory inspections.

Requirements

  • Minimum 1 year of experience in materials management, perioperative services, or ambulatory surgery center operations preferred
  • Prior operating room experience preferred
  • Knowledge of surgical supplies, implants, inventory systems, and purchasing processes
  • Understanding of sterile processing and OR workflow
  • Strong organizational and inventory management skills
  • Ability to analyze pricing and purchasing trends
  • Excellent communication and problem- solving skills
  • Computer proficiency including inventory and purchasing
  • Ability to prioritize multiple responsibilities in a fast-paced surgical environment
  • Ability to stand and walk for extended periods
  • Ability to lift and move supply boxes/equipment as needed
  • Ability to bend, reach, push, and pull or lift up to 100 pounds
  • Ability to work in clinical and storage environments

Responsibilities

  • Coordinate preventative maintenance schedules and follow-up activities
  • Identify and communicate facility issues requiring corrective action
  • Assist in maintaining operational readiness of equipment and systems
  • Serve as the primary point of contact for maintenance-related activities.
  • Coordinate repair requests and work orders with internal staff and external service providers
  • Work closely with Lillibridge and other contracted vendors to ensure timely completion of maintenance projects and repairs.
  • Track maintenance activities and maintain documentation of completed work.
  • Coordinate and oversee supply ordering for all departments throughout the facility
  • Maintain appropriate inventory levels for routine supplies, specialty items, implants, and physician preference items
  • Establish, monitor, and adjust par levels based on case volume, utilization trends, and operational needs
  • Prepare and process purchase orders accurately and timely
  • Receive incoming shipments and verify packing slips against purchase orders and delivered items
  • Resolve discrepancies involving orders, backorders, damaged goods, or invoicing issues
  • Research vendors and pricing to obtain quality products at the most cost-effective pricing
  • Compile purchasing and inventory data and accurately enter in computer systems
  • Maintain organized storage areas and ensure inventory is properly rotated and secured
  • Track and manage implant inventory, expiration dates, lot numbers, and required documentation
  • Distribute supplies throughout the facility to ensure departments remain stocked and operational
  • Conduct routine inventory counts and audits
  • Monitor for shortages and proactively replenish critical supplies
  • Assist with annual inventory and inventory reconciliation
  • Coordinate equipment repairs and maintenance with vendors/service providers
  • Troubleshoot equipment concerns and initiate repair requests
  • Evaluate equipment replacement/repair needs
  • Coordinate procurement of new equipment and ensure proper documentation and setup
  • Track preventative maintenance and service records
  • Respond to staff supply requests in a timely manner
  • Address concerns or complaints related to supplies or equipment
  • Collaborate with staff and physicians to identify supply and equipment needs
  • Communicate effectively with departments regarding backorders, substitutions, or delays.
  • Support process improvement initiatives related to supply utilization and cost containment
  • Maintain records related to implants, equipment, and purchasing in accordance with regulatory requirements
  • Ensure compliance with facility policies and accreditation standards
  • Support readiness for regulatory inspections
