About The Position

The Materials Coordinator facilitates the distribution of supplies in accordance with hospital and departmental policy and procedure. Serves as a purchasing/supply resource to hospital staff, as well as other areas as assigned. This role involves maintaining and stocking assigned supply locations, processing departmental requisitions electronically, receiving and processing returns, and maintaining par levels. The coordinator is also responsible for replenishing code carts, maintaining the supply database, ensuring organization and cleanliness within inventory supply rooms, and maintaining all required competencies. Additionally, the role requires maintaining annual safety and infection control in-services and educational hours. Communications involve interacting with external and internal customers positively and diplomatically, possessing good verbal and written communication skills, and providing excellent customer service related to supply chain functions. Teamwork involves acting as a liaison to all departments requiring Supply Chain Operations services, assisting with customer service inquiries, troubleshooting product requisitions, purchase orders, and billing, conducting product research and sourcing, and handling vendor backorders, product returns, and recalls. Compliance ensures adherence to all department, hospital, Corporate, and Joint Commission policies/recommendations, and maintaining competency according to departmental policies, procedures, protocols, and mandatory education requirements. Administrative support includes accurate management of product inventory, counting and replenishing inventory using available technology, assisting with inventory management through stocking shelves, rotating stock, cycle counts, and physical inventory, cleaning, preparing, and replenishing specialty carts, kits, and equipment, receiving all incoming freight, preparing and shipping outgoing freight, and using computer systems, including handhelds, within Supply Chain Operations. The incumbent may be asked to perform additional duties as assigned.

Requirements

  • High School Diploma or GED required.
  • 3 - 5 years of relevant experience required.
  • Ability to work in a stressful and fast paced environment resulting from unit demands.
  • Ability to learn inventory control software system and basic computer skills.
  • PowerPoint, Microsoft Word, Excel, Team oriented with good communication skills.
  • Ability to clearly communicate verbally and in written form.

Nice To Haves

  • Previous healthcare experience preferred.
  • Knowledge/experience in using pallet jack, dock board and hand trucks.

Responsibilities

  • Acts as a liaison to all departments which require the services of Supply Chain Operations.
  • Acts as a department liaison for customer service, providing assistance with resolving customer inquiries and troubleshooting product requisitions, purchase orders, and billing, as appropriate.
  • Conducts product research and sourcing.
  • Handles vendor backorders, product returns and recalls, and communicates product information and changes.
  • Ensures compliance to all department, hospital, Corporate, and Joint Commission policies/recommendations.
  • Ensures compliance in market facilities through education and guidance from Supply Chain leaders.
  • Maintains competency according to departmental policies, procedures, protocols, and mandatory education requirements.
  • Ensures accurate management of product inventory for the facility.
  • Counts and replenishes inventory using available technology.
  • Assists with inventory management by stocking shelves, rotating stock, cycle counts, and physical inventory.
  • Cleans, prepares, and replenishes specialty carts, kits, and equipment, if applicable.
  • Receives all incoming freight from UPS, FedEx, and other common carriers.
  • Prepares and ships outgoing freight.
  • Uses computer systems, including handhelds, within Supply Chain Operations.
