About The Position

The Materials Coordinator is responsible for planning, ordering, tracking, and managing all materials required to support prefabrication and manufacturing work. This role owns the data, documentation, and coordination side of the materials process to ensure production is never delayed due to material issues.

Requirements

  • Planning, ordering, tracking, and managing materials for prefabrication and manufacturing.
  • Owning data, documentation, and coordination of the materials process.
  • Working closely with Shop Supervisors, Shop Leads, Purchasing, Receiving, and Foremen.
  • Developing Bills of Materials (BOMs) from drawings.
  • Creating and managing purchasing requisitions.
  • Coordinating with Materials Cage personnel.
  • Submitting requisitions to Purchasing.
  • Uploading and maintaining material-related documentation in SharePoint.
  • Updating material status in the Prefab Tracker.
  • Assisting with material tracking for buyout jobs.
  • Forecasting upcoming material needs.
  • Documenting and resolving receiving discrepancies, backorders, and damaged materials.
  • Maintaining visibility of material locations and availability.
  • Ensuring documentation accuracy and compliance with SOP requirements.
  • Delegating and prioritizing tasks for material runners.

Responsibilities

  • Monitor the Prefab Tracker daily for new and upcoming jobs.
  • Strip drawings and develop complete Bills of Materials (BOMs), including manufacturer, model numbers, specifications, and notes.
  • Coordinate material-related questions with the appropriate Shop Supervisor.
  • Create and manage purchasing requisitions based on BOMs and cage inventory availability.
  • Coordinate with Materials Cage personnel to utilize existing inventory where possible.
  • Submit revised requisitions to Purchasing and ensure proper email distribution.
  • Upload and maintain all material-related documentation in the job SharePoint folder.
  • Update and maintain accurate material status in the Prefab Tracker (Pending, Ordered, Received, Backorder).
  • Assist Material Cage Personnel with overseeing material tracking for buyout jobs, including inventory accountability and movement documentation.
  • Coordinate daily with Shop Supervisors and Leads to forecast upcoming material needs.
  • Ensure receiving discrepancies, backorders, and damaged materials are documented and resolved.
  • Maintain real-time visibility of material locations and availability.
  • Ensure documentation accuracy and compliance with SOP requirements across all jobs.
  • Delegate and prioritize daily tasks for material runners based on operational needs, delivery schedules, and production demands.
