About The Position

The Material Expeditor serves as the critical coordination link between the warehouse and all departments that rely on timely material availability, ensuring our manufacturing production team remains continuously supplied and free from material shortages. This role is responsible for proactively monitoring open orders, tracking at-risk materials, expediting deliveries, and providing clear, timely communication across Purchasing, Planning, Production, Quality, and Warehouse teams. Acting as a central point of coordination rather than a shop floor position, the Material Expeditor anticipates potential supply disruptions and drives resolution before they impact operations. Success in this role is measured by the consistent availability of materials ahead of production requirements, enabling uninterrupted manufacturing and supporting on-time delivery commitments. This role is 100% on site.

Requirements

  • Bilingual (English/French)
  • Strong working proficiency in Excel (tracking tools, formulas, filtering/sorting large data sets); comfortable maintaining and improving spreadsheets used by multiple departments.
  • Working knowledge of ERP systems for order tracking and inventory visibility (Business Central experience an asset).
  • Comfortable reading work orders, purchase orders, and basic bills of material (BOMs).
  • Strong written and verbal communication skills; confident following up with internal stakeholders by email.
  • Strong analytical, organizational, time management and problem-solving skills
  • Ability to work in a fast-paced environment
  • Highly organized, with the ability to manage multiple open items and shifting priorities at once.

  • 2+ years of experience in expediting, material planning, purchasing support, or a similar coordination role; manufacturing environment experience strongly preferred.
  • Mid-level knowledge of French and English.
  • French is required to communicate with our team in Québec.
  • English may be required to communicate with our team located outside Québec, as well as to understand certain technical documentation available only in English.

Responsibilities

  • Track open purchase orders and incoming shipments against production schedules, identifying items at risk of shortage before they become a problem.
  • Follow up directly with Purchasing and Suppliers by email and phone to confirm ship dates, resolve delays, and expedite critical shortages.
  • Maintain and update Excel-based tracking tools (shortage lists, expedite logs, order status trackers) that give Production, Planning, and Purchasing a clear, current picture of material status.
  • Act as the primary point of contact between the warehouse and Production, Planning, Purchasing, and Quality on all material availability questions.
  • Communicate proactively and in writing (email, status reports) regarding shortages, delays, and any risks to the manufacturing schedule well before it impacts the shop floor.
  • Verify the match between part numbers, quantities, and revisions in the ERP (Business Central) and work orders and BOMs to confirm materials are ready before production needs them.
  • Coordinate with the warehouse team to prioritize the receiving, put-away, and staging of urgent or essential materials.
  • Investigate discrepancies between system inventory and physical availability, resolving them by collaborating with warehouse and inventory personnel to correct root causes.
  • Prepare and distribute regular shortage and expedite status updates to relevant stakeholders.
  • Support root-cause tracking on recurring shortages and feed findings back into purchasing and planning processes.
