About The Position

The College of Integrative Sciences and Arts (CISA) seeks a dynamic Master of Counseling Online Program Coordinator to join the School of Counseling and Counseling Psychology (SCCP) on the ASU Tempe campus. This position plays a central role in supporting the MC Online Program including admissions support, data gathering, course enrollments and scheduling, and student advising. The ideal candidate is a highly organized professional with strong analytical, communication, and interpersonal skills, familiarity with higher education operations, and demonstrates the ability to interpret and apply institutional policies to effectively support the success of the program. The role supports and instructs those served by the department with routine to intermediate queries, applies fundamental knowledge of multiple standards, policies and procedures, and maintains accurate and detailed records.

Requirements

Bachelor's degree and three (3) years of experience appropriate to the area of assignment/field; OR, Any equivalent combination of experience and/or training from which comparable knowledge, skills and abilities have been achieved.

Experience coordinating activities, setting priorities, and meeting deadlines in a high-volume work environment.
Understanding of graduate admissions processes and graduate student decision-making factors.
Experience supporting graduate student recruitment pipelines, including prospect tracking, outreach, and yield-related activities.
Experience advising and supporting graduate students in an academic setting.
Demonstrated knowledge of evidence-based academic advising strategies, practices, and student support approaches.
Ability to assess student needs and respond to general requests for information and assistance with professionalism and accuracy.
Demonstrated judgment in managing urgent or conflicting requests and escalating appropriately when needed.
Strong problem-solving skills and the ability to navigate complex processes and systems effectively.
Experience using a collaborative, student-centered approach to develop solutions and resolve student concerns.
Ability to guide students through curriculum requirements, connect them to appropriate resources, and support their academic goals while adhering to university and college guidelines.
Commitment to continuous learning and maintaining up-to-date knowledge of key university and college resources to enhance recruitment and advising effectiveness.

Responsibilities

Monitor, maintain, and update graduate student records across internal and external systems, including student information, admissions, advising, and tracking platforms; compile data and provide reports as needed.
Coordinate and support graduate admissions processes, including scheduling and facilitating admissions committee meetings, communicating with applicants and faculty, tracking application progress, and issuing admissions-related communications and decisions.
Partner with EdPlus and other university stakeholders to support admissions, enrollment, and student progression activities for the program.
In collaboration with the central advising support team, provide advising support to prospective and current graduate students through individual appointments, group sessions, and written communication; respond to questions related to program requirements, course planning, university processes, and student success resources.
Guide students through academic and administrative processes, including degree planning, registration-related needs, petitions, overrides, enrollment questions, and progression milestones.
Monitor student progress and outcomes using systems such as Lumivero ELC, Canvas Advising Portal, Salesforce, and other institutional tools; conduct outreach and follow-up with students as appropriate to support persistence and timely degree completion.
Coordinate and prepare materials for faculty review processes, including data collection, reporting, and communication needed to support decision-making and program operations.
Track course availability, enrollment patterns, and scheduling needs; provide input to support course planning and program delivery.
Develop, review, and maintain student-facing communications, process guides, and program resources to ensure information is accurate, current, and consistent.
Plan and support informational sessions, orientations, and other student engagement efforts designed to support onboarding, retention, and overall student success.
Assist with school assessment activities and prepare periodic reports and documentation related to program operations, student activity, accreditation support, and other required internal or external reporting.
Provide administrative and logistical support for accrediting and credentialing activities, as well as program-specific events and milestone processes, including comprehensive examinations.
Serve as a key point of contact and maintain collaborative working relationships with students, faculty, staff, and campus partners to support program goals and daily operations.
Share feedback with faculty leadership in support of graduate student evaluations.
Attend meetings and represent the program in engagements that support the School of Counseling and Counseling Psychology and related initiatives.
Provide general administrative support and complete special projects as assigned by supervisor.
