About The Position

This role involves supporting various reporting and data management tasks to ensure the timely and accurate completion of monthly reports and project tracking. The MARS Clerk will be responsible for maintaining project trackers, distributing reports, downloading carrier data, performing data audits, and organizing client files. Additionally, the role includes taking meeting notes and supporting other assigned projects and administrative tasks.

Responsibilities

  • Pull the monthly reporting schedule and ensure projects are uploaded correctly to the project management tool so work is assigned, tracked, and completed on time.
  • Keep the reporting tracker updated with monthly progress and status notes to support on-time delivery of all monthly reports; escalate blocks as needed.
  • Distribute renewal reports to the team and track any follow-ups needed to support timely processing.
  • Download carrier reports from carrier sites for monthly reporting cycles to improve reporting efficiency for the team.
  • Pull CRM reports as requested by the Director of Consulting Services and distribute findings to the appropriate stakeholders.
  • Complete data audits to ensure client files and the CRM tool are accurate and up to date; identify gaps, correct errors, and coordinate with the team on required updates.
  • Ensure data is clean and validated as we transition systems in Q4 2026, including reconciling records, flagging discrepancies, and coordinating corrections to maintain data integrity.
  • Maintain consistent client folder structure and file naming so documents are current, easy to locate, and aligned with team standards.
  • Take, maintain, and distribute meeting notes and action items for internal meetings in a timely manner.
  • Support other projects and administrative tasks as assigned.
