About The Position

Sweat Pants Agency is seeking a highly organized and proactive Marketing Project Manager to establish and manage the operational systems for their paid media team. This role is focused exclusively on paid media, managing approximately 25-30 accounts. The successful candidate will be the first in this position and will be responsible for designing and implementing new processes. The agency manages around 57 brands and has a significant monthly ad spend across various platforms. They are known for their rapid growth and client retention.

Requirements

  • 2+ years in project management, creative operations, account management, or agency operations, preferably in a marketing or creative agency setting.
  • Proven ability to manage timelines and deliverables across many projects at once.
  • Hands-on experience building and managing a project management system in ClickUp or a comparable tool (e.g., Asana, Monday.com). This is a hard requirement.
  • Demonstrated AI building capability, not just AI usage. Experience using AI tools like Claude, Claude Code, or comparable agents to create tangible outputs such as pages, dashboards, automations, or internal tools. This is a hard requirement and will be tested.
  • Working hours with meaningful overlap with US business hours.
  • Elite organization and follow-through; ability to close loops without being prompted.
  • Ability to build project management systems, not just work within them.
  • Highly AI-enabled and comfortable building with AI.
  • Proactive problem solver who anticipates gaps.
  • Exceptional written and verbal communication skills; English fluency required.
  • Comfortable negotiating rates, timelines, and deliverables with creators.
  • Comfortable juggling many concurrent projects and context switching across accounts.
  • Detail-oriented with a high standard for quality and accuracy.

  • Familiarity with Shopify, Figma, or front-end tooling.

Responsibilities

  • Build and maintain a capacity planning model for the paid media team, including media buyers, designers, and video editors, to forecast workload and identify potential overloads.
  • Design, implement, and manage a creative workflow and process to address bottlenecks and ensure timely delivery of creative assets.
  • Own the sourcing, negotiation, and management of creators for user-generated content (UGC), including managing rates, turnaround times, usage rights, costs, and invoicing.
  • Refine and standardize the client onboarding process, ensuring consistency in account access collection, ClickUp setup, and reporting/dashboard configuration.
  • Run ClickUp as the central source of truth, building and maintaining templates, tasks, forms, automations, and dashboards.
  • Track all creative deliverables from request to delivery, including revisions and approvals, and perform quality assurance.
  • Source, negotiate with, and manage creators, tracking orders, usage rights, and costs.
  • Own client onboarding end-to-end and standardize the process for consistent launches.
  • Build landing pages and advertorials using AI tools like Claude Code.
  • Ensure client reporting and dashboards are set up correctly and remain accurate.
  • Build internal tools, automations, and Standard Operating Procedures (SOPs) using AI.
  • Identify and address communication and delivery gaps, driving follow-ups to completion.
  • Schedule and coordinate client and internal meetings, capture action items, and ensure follow-through.
  • Flag at-risk accounts early and escalate issues as needed.
