We're seeking a strategic and creative Market Project Coordinator to play a vital role in supporting our business development and marketing strategies. This dynamic position manages the proposal/qualifications development process, produces compelling marketing collateral, and contributes to CDH's brand presence through social media, conference readiness, and award submissions. You'll work collaboratively across teams to ensure high-quality deliverables that showcase our firm's expertise and win new business.

Requirements

  • 2-3 years of experience in marketing, proposal coordination, or related field
  • Strong ability to identify and obtain time-sensitive proposal materials from internal and external sources
  • Proven ability to create and maintain professional relationships with staff, leadership, consultants, and vendors
  • Experience managing team deliverables and escalating challenges that may impact timelines or quality
  • Strong written and verbal communication skills with persuasive abilities
  • Intermediate skills in Microsoft Office, Adobe Acrobat, data management systems, and internet research
  • Knowledge of Deltek (Opportunities, CRM Activity Manager), Open Asset, and general data entry
  • Experience with Mailchimp and other marketing platforms
  • Ability to operate marketing office equipment for cutting, binding, and assembling professional printed materials
  • Extremely organized and detail-oriented with ability to coordinate multiple high-priority projects simultaneously
  • Ability to follow complex processes and deliver high-quality products under tight deadlines
  • Strong proofreading skills for technical accuracy and visual consistency
  • Excellent research and procurement abilities
  • Ability and willingness to independently transport and deliver proposals within Metro-Atlanta area (30-mile radius)
  • Knowledge of shipping procedures (FedEx, UPS, USPS, courier services)
  • Creative graphic design abilities
  • Intermediate to Advanced skills in Creative Cloud Suite (InDesign, Illustrator, Photoshop, Adobe) to include Canva

Nice To Haves

  • Associate or bachelor's degree in marketing preferred
  • 1-2 years of specific AEC (Architecture, Engineering, Construction) industry experience preferred
  • Knowledge of marketing vendor resources
  • Experience with marketing automation platforms and CRM systems
  • Event planning and coordination experience
  • Strong knowledge of firm history and projects

Responsibilities

  • Plan and lead proposal kick-off meetings, creating action plans and timelines for successful submissions
  • Manage proposal timelines by communicating with and collecting content from team members (project profiles, cover letters, etc.)
  • Produce drafts for review, incorporate customized content, and make edits for final review and revisions
  • Print, assemble, and submit final proposals in strict compliance with all RFP/Q instructions and criteria
  • Escalate challenges and communicate impacts on proposal timeline and quality to the proposal team
  • Create and/or procure marketing materials (market segment brochures, branded materials, special-order items, etc.)
  • Produce brochures to target prospective client/project needs
  • Create and file Brochure Sheets and Project Profile Sheets for all finished projects
  • Maintain backstock of marketing materials
  • Ensure CDH brand standards are maintained across all mediums (proposals, brochures, presentations, communications)
  • Lead strategy and ideation process for all marketing initiatives and campaigns
  • Regularly collect and/or produce social media content (photos, stories, employee spotlights, etc.)
  • Coordinate with staff and manager to establish content calendar in advance
  • Coordinate email campaigns and participate in creation of graphic and written content for target audiences
  • Work with project leaders to identify potential conferences and maintain conference calendar
  • Coordinate registration and travel arrangements for selected conferences
  • Implement customized-branded approach to each conference through marketing collateral (email campaigns, premium orders, PowerPoint presentations, raffle cards, signage)
  • Collect and prepare booth setup materials (presentations, monitors, leave-behinds, premiums, etc.)
  • Organize client dinners/hospitality events (sponsors, venue, food, invitations, RSVP management)
  • Complete CRM entries of new contacts with follow-up activity reminders and draft thank you notes
  • Provide general marketing support including scheduling project photography and assisting at photo shoots
  • Assist with special events, including event registration, travel arrangements, and procurement/shipping of materials
  • Support award submissions and competitions in which CDH is participating
  • Ensure deadlines are established and met; manage upward
  • Work closely with marketing, business development, and project delivery staff when producing proposals
  • Collaborate with staff to collect, edit, and produce graphically cohesive resumes, project sheets, and proposal materials
  • Maintain accuracy of CRM System and database resources
  • Manage vendors and interns as needed
