About The Position

We are seeking an experienced and driven Marketing Project Coordinator to join our Marketing Team reporting to Marketing Operations Manager. This is an entry-level, operations-focused position designed to support a wide range of marketing initiatives across consumer, professional (HCP), digital, and social channels. This support role is essential to the department’s ability to execute flawlessly, stay compliant within the medical aesthetics industry, and move projects forward. The ideal candidate is someone who loves organization, processes, checklists, and is familiar with creative deliverables across social, digital, and print channels. Requirements

  • 1+ years of professional experience, preferably in marketing, project management, or creative operations
  • Experience with Veeva PromoMats or similar content review systems
  • Experience with project management tools (Smartsheet preferred)
  • Exceptional attention to detail, organization, and follow-through, with demonstrated ability to manage follow-ups, reminders, and stakeholders to drive deadlines
  • Strong project management skills with the ability to manage multiple timelines with high-volume output simultaneously
  • Ability to thrive in a fast-paced environment with shifting priorities
  • Proficiency in Microsoft Office Suite (PowerPoint, Excel, Word, Teams)
  • Team-oriented mindset, willingness to support any function as needed with a proactive approach to problem-solving
  • Basic understanding of social media platforms, production, and content workflows.
  • Strong written and verbal communication skills
  • Interest in marketing within the medical aesthetics, beauty, or pharmaceutical industries

Nice To Haves

  • Familiarity with creative and digital platforms including digital asset management tools (Iconik) and Figma.
  • Familiarity with regulated industries such as pharma, beauty, or medical aesthetics.

Responsibilities

  • Manage end-to-end Veeva PromoMats (legal and regulatory review platform) submissions for creative content including upload, routing, tracking, documentation, and final approved asset management
  • Facilitate the feedback loop between reviewers and marketers, overseeing timelines, revisions, and therefore compliance with medical, legal, and regulatory requirements
  • Learn and apply best practices related to promotional approvals in a highly regulated industry
  • Project coordination as assigned across two franchises with consumer, HCP and digital marketing initiatives, collaborating closely with Brand and Creative teams
  • Support resource management, task assignments, and cross-functional alignment for ongoing projects
  • Intake marketing briefs, create timelines, and facilitate reviews & timely revisions, ensuring projects are moving forward and flagging roadblocks or potential delays
  • Facilitate meeting preparation including agendas, recaps, and action item tracking
  • Manage and maintain a repository of final approved creative assets, relevant trackers, and existing operational systems used by Marketing and Creative
  • Coordinate with external agencies and vendors for administrative tasks or deliverables if needed
  • Provide additional support for marketing campaigns, events, and logistics as assigned
  • Other duties as assigned
