About The Position

This is a 12-month contract role within the Activision Blizzard King Gaming Digital Sales Team. The Marketing Operations Coordinator (Temporary) will support the day-to-day operations of the team, working closely with the VP, Digital Gaming and the broader Digital Sales team. Responsibilities include managing administrative functions and supporting the Director, Digital Store Marketing with the creation, processing, and follow-up of Purchase Orders, Insertion Orders, and other operational needs. The ideal candidate is a clear and confident communicator with strong attention to detail, a passion for building relationships, and an understanding of sales organizations. This role requires collaboration with internal and external partners, driving strategic insights, and supporting go-to-market plans in a fast-paced, high-tech, and data-driven environment. The position is anticipated to be a hybrid work model, with some on-site work at an Activision Blizzard office and some remote work.

Requirements

  • 5+ years Administrative or Business Support experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive leaders.
  • 3+ years’ experience reviewing and managing administrative budgets and processing Purchase Orders (e.g., for events, travel, media Insertion Orders).
  • Demonstrated executive presence, conflict resolution, cross-team communication, discretion, and comfort representing a leader and organization with internal and external stakeholders.
  • Experience working with Accounts Payables - submitting internal documentation, tracking costs, reconciliation against invoices, etc.
  • Possesses experience in the gaming or entertainment industry or an ability to exhibit a deep understanding of the gaming industry from personal experience
  • High level of professional integrity, commitment to quality, and respect for a diverse work environment

Responsibilities

  • Partner with cross-functional teams to plan, secure and analyze mobile platform marketing campaigns to maximize revenue and engagement across key marketing beats in a high-impact environment
  • Being a collaborative and dependable team player, with high attention to detail
  • Provides strategic calendar management and time planning support for manager(s) (e.g., Vice President). Ensures preparation of meeting setting and participant attendance, involving team members in tactical logistic support as appropriate (e.g., booking rooms, troubleshooting audio-video [AV] and technical issues).
  • Continues to build and leverage network across organizations to enable their team and leader's work. Serves as a liaison between executives and teams. Gathers information from partners across organizations (e.g., business managers, finance partners, peers) to prepare key stakeholders to distribute information to their teams. Communicates with external partners/audiences and third parties.
  • Owns the coordination, logistics, and direction for events. Delegates as necessary. Proactively drives actions needed to ensure event outcomes (e.g., developing workback schedule, checkpoints leading up to an event). Acts as a point of contact for events (e.g., changes). Collaborates and coordinates with stakeholders to set up events, as needed, and manages supplier and business relationships end to end.
  • Manage office space assignments across two locations, and securing resources to support team success and efficiency
  • Understands and helps to implement rhythm of business (ROB) in line with recognized patterns, and proactively takes action on business cadence. Creates, builds, and adjusts plans within areas of responsibility in partnership with Business Manager. Executes meeting cadence around the ROB of the leader and the team.
  • Manages travel arrangements (e.g., accommodations, transportation) for Leadership Team and/or group. Facilitates communication across stakeholders ahead of travel. Guides less experienced colleagues, leveraging full knowledge of travel policies.
  • Manage accounts payable processes for commercial media and creative partners
  • Manage vendor setup, establish purchase orders, and manage approvals
  • Ensure timely payment of invoices
  • Advise on accrual submissions
  • Track, reconcile and report on invoices received, paid, and outstanding
  • Work with marketing teams to review spend levels against PO’s and budgets
  • Establish and maintain relationships with new and existing vendors
  • Manage CRF/IO processes for commercial paid media campaigns
