About The Position

The Marketing Operations Coordinator supports the execution and administration of brand and digital marketing initiatives. This role ensures operational excellence across internal teams by managing timelines, tracking deliverables, and maintaining accurate documentation. As the "source of truth" team for deadlines and asset accuracy, you will assist in the communication between channel owners, operations partners and the creative team, ensuring all campaigns move from ideation to completion without friction.

Requirements

  • 1–2 years of experience in project management, marketing operations, or a similar coordinator role within a fast-paced marketing or creative agency environment.
  • You find satisfaction in organization and have a "process-first" mindset.
  • You are a "polite enforcer" who isn't afraid to follow up frequently to keep projects on track. You enjoy working with teams across various departments.
  • You have a sharp eye for QA and can spot a typo or a missing requirement.

Nice To Haves

  • Experience with Asana (or similar project management tools), Google Workspace, Zoom is highly preferred.

Responsibilities

  • Assist in setting up and maintaining the Asana project framework for all seasonal campaigns; adjust milestones and dependencies as timelines shift.
  • Own the intake process for monthly marketing requests; ensure every brief is complete, clear, and actionable before it reaches the Design PM.
  • Set weekly deadlines, send reminders, and follow-up as needed to ensure all team deliverables are met.
  • Maintain distribution lists, attendee lists for recurring meetings, and support manager by ensuring all planning tools are updated in real-time.
  • Assist, as needed, in booking key meetings once dates are determined and manage shifting attendee lists.
  • Alert all teams of important date changes and lead the follow-up process for outstanding information or action items.
  • With direction from manager, assist in the post-meeting workflow by tracking down missing information and scheduling necessary breakout sessions.
  • Reach out to channel owners for promotional asset needs, enforcing strict deadlines for submission.
  • Serve as a "second set of eyes" on creative asset reviews; compare for accuracy against the brief and provide necessary edits.
  • Draft the fine print for all promotions, working closely with web production partners, and adjust as details change.
