About The Position

GXA is building a world-class marketing function, and we need a hands-on coordinator to bring our events, content, and community engagement programs to life. This is a newly created, execution-focused role responsible for the logistics and production behind: Monthly in-person events (executive lunches, happy hours, industry panels, client events) Webinars (including “simulated live” processes) Podcast and video content program (guest scheduling, recording logistics, publishing cadence support) The goal is to remove the leadership team from operational coordination so they can focus on being present and delivering great content. You’ll work closely with GXA’s leadership, fractional CMO (strategy/content direction) and internal marketing operations lead (HubSpot, dashboards, digital campaigns) to keep programs moving smoothly and consistently. This role is ideal for someone early-to-mid career who thrives on planning, coordination, and execution—and wants to grow in campaign delivery and B2B demand generation

Requirements

  • 2+ years of experience in marketing coordination, event coordination, marketing operations, communications, production coordination, or related fields
  • Experience planning and executing in-person business events
  • Strong organizational skills with ability to manage multiple deadlines at once
  • Excellent written and verbal communication skills
  • Comfortable with technology and learning tools quickly (HubSpot, Asana, Zoom, Teams, LinkedIn, etc.)
  • Based in the DFW area and able to be onsite regularly (office + events)
  • Self-starter who can own a process end-to-end without needing constant direction

Nice To Haves

  • Experience coordinating podcast or video production logistics (guest booking, studio coordination, equipment checklists, post-production workflow)
  • Familiarity with HubSpot (CRM, workflows, forms, event registration) or similar platforms
  • B2B and/or technology industry marketing experience
  • Comfortable appearing on camera or moderating a conversation when needed
  • Experience sourcing sponsorships or speaking opportunities at conferences/events
  • Candidates with backgrounds in corporate marketing, hospitality, nonprofit event coordination, executive admin + marketing exposure, or production management are encouraged to apply.

Responsibilities

  • Event Planning & Execution (40–45%) Plan and execute monthly in-person events: venue sourcing, catering, invitations, run-of-show, day-of execution, and follow-up Coordinate event logistics: venue contracts, A/V, signage, name badges, parking, attendee communications, and vendor management Manage event registration and attendance tracking through HubSpot (or similar) and ensure lists are accurate and follow-up is timely Maintain a marketing/event calendar so initiatives stay on schedule Track event ROI: registrations, attendance, leads generated, pipeline influenced
  • Podcast, Video & Webinar Production Coordination (25–30%) Own end-to-end logistics for GXA’s podcast/video program: guest recruitment support, scheduling, outline prep coordination, recording day logistics, and post-production handoff Ensure presenters and guests are prepared with talking points, scripts, and equipment readiness (mic, webcam, lighting) Coordinate batch recording days to maximize efficiency Source and book recording studios or offsite venues when needed Manage webinar logistics: pre-recording coordination, day-of operations, and Q&A support staffing/briefing Track content production pipeline to maintain a consistent publishing cadence
  • Marketing Operations & Campaign Support (20–25%) Support email marketing campaigns, contact list management, outreach, and basic campaign coordination Assist with digital marketing initiatives tied to events, lead generation, and follow-up Help coordinate production of marketing materials and sales collateral Ensure brand consistency across marketing assets and activities Track campaign and content performance metrics; assist with reporting and dashboards
  • Community Engagement & Outreach Support (10–15%) Identify and pursue speaking, panel, and sponsorship opportunities for GXA leadership in DFW Coordinate co-marketing activities with strategic partners (e.g., cyber insurance brokers, CPA firms, HR tech firms) Support LinkedIn/community engagement programs through partner coordination and cross-promotion Build and maintain relationships with venues, guests, vendors, and industry contacts
