About The Position

The Marketing Administrator will facilitate budget, invoice, and new vendor processes across the department, supporting Marketing leaders in close collaboration with Finance. A Day in the Life: Responsibilities will include providing general administrative support for the Global Marketing team with the management of budgets, tracking investments, and invoices. The Marketing Administrator is within the global Paid Media and Advertising Marketing team and will involve close collaboration with cross functional Hertz teams including but not limited to Finance, Procurement, Brand, eCom, Loyalty, and CRM. This role is responsible for administering marketing budgets and investments, supporting various Marketing leaders and their vendors from a financial perspective. Preparing executive-level reporting, including financial forecasts, investment approval request documents etc., is a critical part of the role. Note: this role will be required to work from our Atlanta, GA office at least 3 days per week. The salary range for this position is around $55k but is commensurate with experience.

Requirements

  • Bachelor's degree in business or related field.
  • Moderate proficiency in MS Office Suite and Oracle.

Responsibilities

  • Provides general and administrative support to the Global Marketing team.
  • Possess and work with a high knowledge and understanding of Internal Controls, Hertz Policies and Procedures, required documents and approvals required, account structures.
  • Review at month end for unprocessed invoices to be accrued.
  • Tracking and preparation of the reconciliation and monthly allocations including researching unknown items and reclass as required.
  • Compile and distribute reports.
  • Set up and processing of invoices for global Marketing.
  • Ensure timely payment of invoices for vendors after confirming with stakeholders that all goods/services have been received.
  • Manage approval of quotes/purchase orders from external vendors. Make sure all estimates are correct and within price tolerance.
  • Initiate PO requests for approvals, track expenditures and reporting on related activity.
  • Tracking of spend against PO's and updates for PO's to be closed.
  • Process Vendor set up and changes.
  • Validation and updates for invoices on hold.
  • Act as the point of contact for Marketing vendors and partners.
  • Assist in the creation of business review and division presentations.
  • Coordinate and provide administrative support regarding customer events/activities.
  • Assist in budget tracking, filtering budget requests and reporting on related activity.
  • Liaise with internal departments such as Finance and Operations to ensure alignment on budgets and spending.
  • Other duties/special projects as assigned.
