About The Position

The Marketing Administrative Assistant will support the Marketing department’s day-to-day operations and the development of promotional materials. The position will provide general administrative support to the marketing team, including managing team tools and databases, managing vendors, compiling reports, and implementing organizational/workflow processes. The responsibilities would also include editing and maintaining marketing content, such as templates, presentations, brochures, and other collateral. Their team-player attitude, passion for organization and operations, solid work ethic, and project and time management skills will help the Marketing team save time and gain efficiency, gearing the team for success.

Requirements

  • High School Diploma.
  • Minimum 6 months of work experience.
  • Ability to read, write, and speak in English.
  • Ability to read, write, and speak in French, depending on location.

Responsibilities

  • Assist in the compilation, storage, and archiving of video related files in Canto Digital file management
  • Assist in the compilation and distribution of marketing reports
  • Maintain CRM database
  • Maintain Marketing tools, resources, and content in the employee intranet
  • Manage team-wide tools (e.g. Canva, Monday.com, Getty)
  • Ensure expense reports are completed/submitted in a timely manner
  • Review, monitor, maintain, and implement team processes and SOPs Archiving
  • Create and update templates (e.g. PowerPoint presentations, letterhead, document templates)
  • Update marketing literature
  • Assist with video pre-production (e.g. errands, invoicing, set up, clean up)
  • Maintain staff biographies and headshots
  • Proofreading of marketing content
  • Liaison for requests from other departments (e.g. requests for logos, brand guide, images, templates)
