About The Position

If so, we invite you to join us as the Market Coordinator supporting our Market Vice President, Functional Team, and Store Directors. Based in Miami, you will support the region of 15 locations across Florida, Georgia, Nashville, and North Carolina. This is not just an administrative role; it's an opportunity to be a strategic partner, contributing directly to the efficiency and effectiveness of two key leaders within our organization.

Requirements

• 5+ years of experience as an Executive Assistant supporting senior-level executives.
• Proven ability to manage complex calendars, coordinate travel, and plan events.
• Exceptional organizational, time-management, and prioritization skills.
• Excellent written and verbal communication skills in both English and Japanese
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Experience with various specialized software (ex. Concur).
• Strong attention to detail and accuracy.
• Ability to work independently and as part of a team.
• Demonstrated ability to maintain confidentiality and exercise discretion.
• Proactive, resourceful, and able to thrive in a fast-paced environment.

Responsibilities

• Provide comprehensive administrative support, including managing complex calendars, scheduling meetings across multiple time zones, and coordinating travel arrangements (domestic and international).
• Act as a primary point of contact, screening calls, managing correspondence, and drafting professional emails and presentations. Ensure timely and accurate flow of information.
• Plan and execute meetings, conferences, and special events, including preparing agendas, coordinating logistics, and managing catering.
• Assist with special projects, conducting research, compiling data, and preparing reports as needed. This may involve collaborating with various departments and stakeholders.
• Process expense reports, track budgets, and reconcile financial records with meticulous attention to detail.
• Handle sensitive information with discretion and maintain strict confidentiality.
• Skillfully manage access to the executives, prioritizing requests and ensuring efficient use of their time.
• Proactively identify and resolve potential issues, anticipate needs and take initiative to ensure smooth operations.
