About The Position

The Manufacturing Maintenance Administrative Coordinator plays a critical role in supporting the maintenance department. This position is responsible for planning, organizing and tracking maintenance activities, managing maintenance records, coordinating schedules, and ensuring timely communication across shifts. The ideal candidate is highly organized, detail-oriented, and comfortable working in a dynamic, around-the-clock manufacturing environment.

Requirements

  • Associate degree in business, operations, or a technical field preferred or; vocational technical training or equivalent, relevant experience.
  • Experience in maintenance planning and service in a manufacturing, industrial, or 24/7 operational environment.
  • Working knowledge of maintenance terminology and manufacturing operations.
  • Proficient with Microsoft Office (Excel, Word, Outlook, PowerPoint, Teams); experience with CMMS software (e.g., SAP, Maximo, MP2, eMaint) strongly preferred.
  • Excellent organizational and multitasking skills with the ability to manage shifting priorities.
  • Ability to work independently.
  • Strong written and verbal communication skills

Nice To Haves

  • Familiarity with OSHA standards, Lockout/Tagout, and other industrial safety procedures is a plus.

Responsibilities

  • Support the maintenance department across all shifts by managing and updating the SAP Enterprise Asset Management system (SAP/EAM) with work orders, asset data, and PM schedules.
  • Create, review and integrate maintenance plans into SAP/EAM.
  • Coordinate preventive maintenance and emergency repairs by facilitating parts readiness and technician scheduling.
  • Maintain shift pass down reports and ensure clear communication between maintenance teams on different shifts.
  • Assist with tracking overall equipment effectiveness, work order completion rates, and other key performance indicators (KPIs).
  • Monitor and reorder spare parts and consumables, ensuring inventory accuracy across 24/7 operations.
  • Prepare daily, weekly, and monthly maintenance reports and distribute them to appropriate personnel.
  • Maintain documentation in SAP/EAM related to inspections, lockout/tagout procedures, and compliance with OSHA and other regulatory and security requirements.
  • Provide administrative support for shift changes, vacation scheduling, and training tracking for maintenance staff.
  • Serve as a point of contact for cross-shift communication and administrative continuity.
