About The Position

The Manager, Workforce Administration leads a team of Workforce Administration professionals responsible for supporting workforce planning, position management, organizational maintenance, workforce reporting, and HR administrative processes. This role ensures the accuracy, integrity, and governance of workforce data while driving operational excellence across workforce administration functions. The Manager coaches and develops a high-performing team, establishes efficient processes, monitors service delivery and quality standards, and partners with leaders across Human Resources, Workforce Management, Finance, Talent Acquisition, HR Operations, and business teams. This leader provides strategic direction, identifies opportunities for process improvement, and drives initiatives that enhance workforce data accuracy, organizational effectiveness, and the colleague experience. The Manager, Workforce Administration is responsible for hiring, training, coaching, and developing hourly and/or professional colleagues while fostering a culture of accountability, continuous improvement, collaboration, and customer-focused service.

  • Technical Proficiency: Advanced proficiency in Microsoft Excel, PowerPoint, Outlook, workforce management tools, HRIS platforms, reporting systems, and data analysis tools.
  • Adaptability: Ability to effectively manage competing priorities and lead through organizational change in a fast-paced environment.
  • Bachelor’s degree in Human Resources, Business Administration, Workforce Management, Operations, or a related field, or equivalent work experience.
  • 5–7 years of experience in workforce management, HR operations, workforce administration, shared services, or related functions.
  • 2–5 years of people leadership experience, including coaching, performance management, and talent development.
  • Strong knowledge of workforce planning, organizational management, position management, and HR data governance.
  • Demonstrated experience leading operational teams and driving measurable business results.
  • Strong attention to detail with the ability to manage multiple priorities in a fast-paced environment.
  • Proven ability to handle confidential and sensitive information with discretion.
  • This role involves performing essential job functions such as communication, collaboration, and use of office and computer systems. Responsibilities include the ability to access and review written and electronic information, and to move within the work environment and interact with workplace materials as needed to carry out job responsibilities.
  • Ability to work a flexible schedule based on department and business needs.
  • Ability to travel if required.

Responsibilities

  • Lead and oversee a team responsible for workforce administration, position management, organizational maintenance, workforce reporting, and HR operational support.
  • Hire, train, coach, and develop colleagues to deliver accurate, timely, and customer-focused workforce administration services.
  • Foster a high-performance culture focused on accountability, continuous improvement, operational excellence, and exceptional internal customer service.
  • Monitor productivity, service levels, quality metrics, workload distribution, and team performance to ensure departmental goals are achieved.
  • Provide escalation support for complex workforce administration issues, organizational structure changes, position management requests, and data integrity concerns.
  • Partner with HR Business Partners, Workforce Management, Finance, Talent Acquisition, HR Operations, Data Governance, and business leaders to support workforce planning and organizational initiatives.
  • Ensure workforce data, position records, organizational structures, and employee information are maintained accurately and in compliance with established governance standards.
  • Lead workforce reporting and analytics efforts related to headcount, turnover, retention, vacancies, position movements, organizational changes, and workforce planning activities.
  • Drive process improvements that increase operational efficiency, strengthen compliance, improve data quality, and enhance the colleague and leader experience.
  • Develop and maintain standard operating procedures, training resources, and quality controls to ensure consistency and scalability across the function.
  • Manage departmental projects and strategic initiatives that support organizational growth, workforce optimization, and business objectives.
  • Build strong partnerships across the organization through proactive communication, collaboration, and influence.
  • Maintain regular, dependable attendance and punctuality.
  • Foster an environment of acceptance and respect that strengthens relationships and ensures authentic connections with colleagues, customers, and communities.
